POSITION TITLE: HR Assistant
Location: Wilmington, Delaware
Schedule: Monday - Friday 8am to 4:30pm
Payrate: $18.00 an hour
EDUCATION/EXPERIENCE
At least two years of relevant administrative support experience. An equivalent combination of education and experience may be considered.
SKILLS/ABILITIES
- Proficiency in Microsoft Office Suite programs, including MS Word, MS Excel and MS Outlook.
- Excellent verbal and written communication skills
- Excellent organizational, time management and prioritization skills with the ability to handle concurrent tasks in a busy work environment
- Strong interpersonal skills with the ability to effectively interact with a diverse constituent population.
- High attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Ability to handle confidential information with discretion.
- Experience using an HRIS system is preferred.

Responsibilities:
POSITION PURPOSE
The HR Assistant is responsible for supporting all human resources functions and initiatives. This position is responsible for delivering excellent customer service and ensuring compliance with all external laws and regulations as well as internal guidelines and policies.
The HR Assistant is responsible for providing administrative support to the human resources department, handling record-keeping and on-boarding functions, and ensuring that HR processes run in an effective and accurate manner. This role is crucial for maintaining a positive team member experience and contributing to the overall efficiency of the HR team.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
- Responsible for finalizing the on-boarding process for newly hired hourly Goodwill team members and trainees. Provides trouble-shooting support to new hires during the on-boarding process.
- Serves as the first point of contact for HR inquiries and escalates requests to the appropriate HR personnel, as needed.
- Ensures the accurate and timely completion of Form I-9, including re-verifications and recertifications, and the E-Verify process for all team members. Contacts new hires, as needed, regarding acceptable documents for Form I-9 or when corrections are required on Form I-9.
- Creates and maintains electronic HR files for internal Goodwill team members upon receipt of the hire notification email from the hiring manager. Files paperwork in the appropriate folders within the electronic file. Ensures that files are maintained in the appropriate locations with the Shared drive.
- Handles the background check process, including submission of requests and review of results in accordance with the established background check adjudication process. Files results in the team member’s electronic HR folder and archives results in the background check system.
- Checks the Quest website for drug test results and communicate information to the appropriate party. Files results in the team member’s electronic HR folder. Logs into Quest Invoice Portal, on a monthly basis, prints and processes invoices.
- Processes Emergency Loan Applications for all hourly team members. Informs the team members when the check is ready for pick and any financial coaching sessions are required as part of the application process.
- Assigns mandatory trainings to team members and tracks completion. Communicates with managers and team members to ensure that trainings are completed within the designated time period.
- Assists with compiling reports for various internal and external reporting requirements.
- Responds to Employment and Income Verification requests for all team members.
- Completes audit requests from the Department of Labor and files paperwork in the appropriate team member’s electronic HR file.
- Provides support with wellness initiatives, HR sponsored events and job fairs, as needed.
- Maintains strict confidentiality of all sensitive information pertaining to employment and separation of employment.
- Maintains professionalism and aligns work performance with Goodwill’s performance expectations and Code of Conduct and Ethics.
- Performs all duties as assigned.
