Description:
UP TO £28,000 + BONUS / 1 YEAR FIXED-TERM CONTRACT / HYBRID WORKING – 1-2 DAYS ONSITE IN THE CENTRAL BRISTOL HEAD OFFICE.
This is a key role within the People team, delivering outstanding customer service to our stakeholders and a great opportunity for an experienced HR Assistant who is interested in an exciting generalist role, with lots of scope to get involved in People Projects and drive initiatives forward.

Role Purpose
Responsible for the provision of a comprehensive, professional and proactive HR & recruitment administration and support service, contributing towards a culture of continuous improvement and ensuring the people experience at i3Works is the best it can be.
Reporting Lines and Key Relationships
The HR Assistant is a key member of People team and reports into the Head of People.
They will also:
Work with the wider People team to deliver a high functioning service, including the Talent Acquisition Manger, HR Advisor and People Projects Advisor.
Work closely with the wider Operations team, including Business Management and Marketing.
Act as main point of contact for all HR administration and day to day queries for i3Works, including senior managers.
Key Responsibilities
HR & Recruitment Administration
Undertake the full range of employee lifecycle administration including but not limited to; new starter processes, employee changes and handling leavers, including the production of contracts and letters. Key responsibilities to include:
- Working with the Operations team to ensure employees undertake the relevant security clearances.
- Managing all onboarding and offboarding administrative elements.
- Monitoring the People inbox, responding to day-to-day queries and escalating upwards as required.
- Ensure all People records are accurate, up to date and in compliance with GDPR.
- Ensure all HR records are maintained accurately and to a high standard within the relevant systems (PeopleHR, Asana & Team Tailor).
- Update payroll with necessary changes as and when required, keeping track of all changes for monthly updates to Finance team.
- Manage employee enrolments in benefit schemes e.g., EV scheme, private healthcare, cycle to work etc.
Recruitment administration support to include:
- Supporting the full recruitment life cycle for Associates (temporary staff) and employees, from role approval to offer, including any related administrative tasks.
- Managing roles in Team Tailor, our ATS (Applicant Tracking System), including making amendments, confirming interviews and communicating with stakeholders, suppliers, and candidates.
People Projects Support
- Supporting with continuous improvement projects such as onboarding & off-boarding administrative elements, re-design and ongoing improvements to People SharePoint site and resources.
- Supporting with wider People Projects, including Wellbeing & EDI initiatives, Learning & Development activities, improving internal communications etc.
Other Responsibilities
- Acting as system ‘Superuser’ for PeopleHR (HRIS), Team Tailor (ATS) and Asana (Timesheet & Resourcing system – from an HR administrative perspective only).
Person Specification
Essential
- Strong HR and/or recruitment administrative experience, working in a fast-paced and agile environment.
- Highly proficient in IT skills e.g., MS office suite (Excel, PowerPoint, Word, Outlook) including experience of using an HRIS or other complex management information system.
- Up to date Employment Law knowledge, including a good understanding of GDPR.
- Demonstrable experience of delivering excellent customer service to internal and external stakeholders.
- Ability to uphold and champion i3Works values and behaviours (shown at bottom of document), acting as a role model within the organisation.
Desirable
- CIPD Qualification or working towards.
- Experience of working with SharePoint, including site page creation, improvements and maintenance.
- Previous experience working with PeopleHR, Asana or Team Tailor.
