This technology helps preserve donor livers for up to 24 hours, in efforts to reduce organ discard rates and facilitate more successful transplants. As part of our ongoing expansion, we seek an enthusiastic HR Assistant to join our team.
POSITION SUMMARY
The Human Resources Assistant plays a critical role in supporting the wider HR Team in providing a best-in-class people centric experience across our ONA geographies The vast majority of the role is UK focused but OrganOx is present in a number of European countries, which the role also supports. As an integral part of the HR Team, the post holder will provide support in all aspects of the HR Employee Cycle in an accurate, efficient and timely manner. This role is based at OrganOx HQ, a brand-new facility in Oxford.
The HR Assistant will be responsible for providing comprehensive HR support across all stages of the employee life cycle from recruitment to offboarding. You’ll play a key role in helping us grow and maintain a high-performing and engaged workforce. This position requires someone who is flexible, highly organized, and ready to adapt to the fast-paced demands of a scaling business.
Listed below are key responsibilities of the role and a brief description of some of the key tasks to be performed by the post holder. This list is not exhaustive, and the position holder will be expected to be flexible and support additional ad hoc tasks.
SKILLS AND EXPERIENCE
- Proficiency in Microsoft Excel, PowerPoint and Word and HR software (experience with HRIS systems is a plus).
- Excellent organizational skills and attention to detail.
- Strong interpersonal and communication skills.
- Previous experience in a similar HR support role, preferably in a fast-growing company.
- Strong knowledge of the employee life cycle and HR best practices.
- Familiarity with employment law and HR compliance requirements in the UK.
- Ability to handle sensitive information with discretion and confidentiality.
- Flexible and adaptable to changing priorities in a fast-paced environment.
- Ability to multitask and manage time efficiently.
QUALIFICATIONS
- Degree in HR or related field. (preferred but not essential).
- CIPD Level 3 in People Practice and a willingness to gain CIPD Level 5.
Responsibilities:
Employee Records and HR Administration
- Maintain and update employee records and HR database with adherence to GDPR
- Local Subject Matter Expert for the HRIS system
- Utilise HR systems (once launched) to ensure stakeholders (Finance, Benefit Brokers, Payroll etc) have relevant data & MI as required.
- Administration of OrganOx benefits.
- Assist with payroll preparation by providing relevant data such as new starters, absences, bonuses, and leavers
- Ensure compliance with employment laws and company policies.
- Manage the HR inbox and respond to employee queries regarding HR policies, holiday allowances and benefits.
- Support the HR Team as a note taker during confidential meetings.
- Maintaining HR Policies
- Setting up HR suppliers and raising Purchase Orders
- Provide support on ad hoc HR projects
Recruitment & Onboarding
- Assist in creating and posting job advertisements on various platforms
- Coordinate and schedule interviews with candidates.
- Support pre-boarding of new employees, including preparing offer letters, contracts, reference checking and conducting the right work to work checks.
- Support first day onboarding by liaising with IT, Line Managers and key stakeholders for detailed onboarding schedule and always ensuring an employee centric experience.
- Preparing the weekly new starters and leavers communication to key stakeholders.
Employee Engagement & Well-being
- Assist in organizing employee events and engagement activities.
- Support initiatives that promote employee wellness and well being
Performance Management and Learning and Development
- Assist with the coordination of performance reviews and feedback cycles.
- Track and manage employee goals, development plans, and training records.
- Coordinate learning and development events
Offboarding & Exit Process
- Coordinate the offboarding process, including scheduling exit interviews and paperwork.
Office Management Back-up
- Provide administrative support for the Office Manager during periods of absence.
