QUALIFICATIONS

Diploma or certificate in Human Resources Management or Diploma/Certificate in Office Administration plus three (3) to five (5) years recent, related experience in a healthcare environment or an equivalent combination of training, education and experience

  • Knowledge of Human Resources principles and practices.
  • Knowledge of administrative policies, procedures and processes.
  • Ability to communicate effectively both verbally and in writing with people at all levels of the organization.
  • Demonstrated analytical, problem solving and decision-making skills.
  • Ability to work independently and effectively under time pressure to meet deadlines, balance work priorities and resolve problems in a timely manner.
  • Ability to exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential or sensitive nature including personnel information.
  • Intermediate to advanced skills using a variety of computerized software packages including Microsoft Office Suite.
  • Results orientation; takes initiative and assumes ownership of work.
  • Commitment to continuous learning, especially of HR trends, new technology and software.

Responsibilities:

OTHER HR DUTIES

  • Coordinates recruitment processes as needed by posting vacancies as directed, confirms information such as status and shift schedules, produces posting, and obtains authorizing signature. Arranges advertising for external recruitment, screens internal and external applicants, sets up interviews, administers applicant testing, conducts reference checks, verifies credentials, educational qualifications and license requirements, and prepares offer letters and supporting documentation for successful applicants; distributing as appropriate.
  • Maintains applicable databases. Analyses HR data and reports back on trends, performance/quality indicators while suggesting potential causes and possible solutions.
  • Conducts Human Resources employee orientation and schedules orientations as needed.
  • Prepares and processes a variety of personnel change forms such as new hires, terminations, leaves of absence etc. as needed.
  • Administers Employee Performance Management systems as needed by adding new employees, updating information, troubleshooting problems, creating and updating training material and running reports.
  • Takes minutes during meetings including Committee and Labour Management meeting. Distributes as appropriate.
  • Initiates, composes and edits correspondence regarding matters of a sensitive and confidential nature such as employee discipline, professional responsibility, payroll issues, attendance/absenteeism and leaves of absence. Ensures appropriate follow up.
  • Provides administrative support to the Occupational Health & Safety (OH&S) committee and assists with the implementation of policies, procedures and new initiatives generated by the committee.
  • Assists Manager(s) with Essential Services planning and maintaining information regarding plans and service levels as needed.
  • Ensures safety of residents while performing duties and reports any adverse events to a supervisor immediately.
  • Performs other duties as assigned.
