JOB SUMMARY

We are seeking a highly organized and detail-oriented HR Coordinator to join our Human Resources team. This role will be responsible for supporting various HR functions, with a particular focus on immigration, payroll activities, and handling expat employees. The ideal candidate will have a solid understanding of HR processes, excellent communication skills, and the ability to handle sensitive information with the utmost confidentiality.

  • Provide day to day operational HR support for the Therwil campus employees
  • Ensure all HR practices are managed in line with local regulation, and company policies and practices

EDUCATION/EXPERIENCE REQUIREMENTS

Basic qualifications include: (HR Admin)

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • At least 2 years of experience in an HR role, with exposure to immigration and payroll activities preferred.
  • Solid understanding of HR processes and best practices.
  • Proficient in German and English
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and problem-solving abilities.
  • Proficient in Google G-Suite or Microsoft Office Suite (Word, Excel, PowerPoint) and HR information systems, preferably Employee Central / SAP.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Knowledge of relevant labor laws and regulations, particularly relating to payroll and immigration.

Preferred Qualifications:

  • Experience with international employee management.
  • HR-Fachausweis, Certified Payroll Professional (CPP) or similar certification.
  • Familiarity with HR software such as ADP, SAP HR

Responsibilities:

MAIN ROLES AND RESPONSIBILITIES

  • Responsible for and supporting our employees with our Time tracking and Colgate vacation System
  • Providing assistance to employees, answering questions and following up as needed; and participating as an active resource for any of the other HR areas
  • Immigration:
  • Coordinate the immigration process for employees, ensuring compliance with all relevant laws and regulations in partnership with our immigration-provider.
  • Prepare and submit visa applications, work permits, and other immigration-related documentation.
  • Serve as the main point of contact for employees requiring visas, providing guidance and support throughout the immigration process.
  • Maintain accurate and up-to-date records of all immigration activities and documentation.
  • Liaise with external immigration consultants and legal advisors as needed.
  • Monitor changes in immigration laws and policies and communicate relevant updates to the HR team and affected employees.
  • Payroll:
  • Processing the monthly payroll for 5 entities in close liaison with 2 external payroll providers.
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, changes to pay rates, pension fund updates and health insurance plan.
  • Review and verify payroll data for accuracy.
  • Resolve payroll discrepancies and answer employees’ payroll-related inquiries.
  • Maintain payroll records in compliance with company policies and relevant regulations.
  • Work closely with the finance team and our Shared Service Center to reconcile payroll accounts.
  • Expatriate Management:
  • Coordinate the seamless relocation of expatriate employees in partnership with our relocation providers.
  • Serve as the main point of contact for expat employees, providing ongoing support and guidance throughout their assignment.
  • Handle the administration of expatriate benefits and allowances, ensuring accurate and timely processing.
  • Monitor and assist with the compliance of tax, social security, and other legal requirements for expats in coordination with external advisors.
  • Facilitate orientation and cultural training for expat employees and their families to ensure smooth transitions and integration.
  • Track and manage expat assignments and agreements, ensuring clear communication of assignment terms and conditions.
