Description:

We are looking for a Payroll Specialist to join our team in Santa Clara, California. This role offers a contract to hire employment opportunity in the HR and Payroll industry. As a Payroll Specialist, you will be handling various payroll and HR duties such as processing semi-monthly payroll, maintaining payroll records, and liaising with benefits administrators.

Responsibilities:

  • Process semi-monthly payroll using the ADP portal.
  • Maintain accurate payroll records on the ADP portal for both US and International Subsidiaries.
  • Handle deductions for benefits such as 401K, Medical FSA, and employee benefits during payroll processing.
  • Coordinate with 401K Administrator/Charles Schwab on record keeping of loans and rollovers.
  • Calculate and maintain vacation and end of services balances.
  • Handle new enrollments for Medical, Dental, Vision benefits deduction.
  • Respond to inquiries from government agencies such as IRS, EDD, SSI.
  • Maintain Employee Stock Options files, Option plans, and options exercised packages.
  • Handle incoming resumes and new hire employee packages.
  • Coordinate with recruiting agencies and local University recruiting administration.
  • Liaise with Legal Agency for H-1B visa and green card process.
  • Handle employment verification.
  • Maintain Company’s Organization Chart and Company Policy manual, process, and procedures.
  • Reconcile payroll expenses, taxes, and deductions accounts.
  • Post ADP payroll entries via QuickBooks file upload.
  • Generate monthly headcount reports and provide payroll/HR data for census report and year-end audit report.
  • Proficiency in Accounting Software Systems
  • Experience with ADP - Financial Services
  • Familiarity with ADP Workforce Now
  • Knowledge of Ceridian and Dayforce systems
  • Experience in 401k - RRSP Administration
  • Proficiency in About Time software
  • Understanding of Accounting Functions
  • Experience in Auditing
  • Proficiency in Benefit Functions
