Description:

The Pre-Employment Coordinator oversees the entire pre-boarding process and coordinates tasks within the pre-boarding process according to departmental protocol.

  • Receives and initiates candidates in the pre-boarding process with a call and welcome email within 24 hours of receipt. Coordinates and schedules on-site appointments and/or required health screening and processes required background screenings. Ensures all company, state and federal guidelines are followed during the Pre-boarding process.
  • Walks candidate through what to expect during the pre-boarding process and helps candidates successfully navigate and complete pre-boarding requirements within the required timeframe of 10 days or less. Ensures timely hand-off of complete and accurate new hire file to HR Coordinator for entry into HRIS.
  • Keeps Pre-boarding Master Tracker up to date with candidate’s pre-boarding progress. Keeps hiring manager updated concerning their candidates. Escalates any concerns or delays in pre-boarding to hiring manager and department leadership.
  • Manages the review and sign-off of required new hire forms in ATS system and ensures 100% completion of all required new hire forms. Ensures all required credentials are collected, verified and on file per job description prior to candidate being cleared to start work. Ensures candidates receive and sign job description.
  • Schedules all candidates for New Hire Orientation and Clinical Orientation if required. Ensures candidate attends orientation/reschedules orientation and/or advises hiring manager and HR Business Partner of any issues with orientation attendance.
  • Provides exceptional external and internal customer support in person, via email and phones with the highest level of customer service in the Employee Service Center. Ensures timely log in to Cisco phone system by start of shift, with phone queued up and ready to take calls, and dispositions phone when away from desk. Acts as a team player and covers workload of other pre-boarding coordinators in their absence. Assists with other related duties and ad hoc projects as assigned.

REQUIRED QUALIFICATIONS:

  • Associates Degree, HR Certification or equivalent Human Resources Experience
  • Exceptional written and verbal communication skills in English
  • Ability to work independently and collaboratively as part of a team
  • Ability to maintain a work pace appropriate to the workload\
  • Must demonstrate excellent customer service skills
  • Ability to manage and prioritize multiple tasks
  • Ability to maintain a high level of confidentiality
  • Computer literacy and proficiency

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree
  • 1 year of relevant work experience in a Human Resources department
  • Previous experience working with software such as Applicant Tracking Systems, HRIS, Microsoft Office, Outlook, etc.
  • PHR Certification
  • Prior Human Resource experience in a Healthcare setting
  • Bilingual
