HR Representative II position located at Mainz-Kastel District Office, Full-time 40 hrs. This is a 1-year temporary position.

I. SUMMARY

Under minimum supervision, this position is responsible for handling personnel measures and HR administration tasks related to a selected group of employees, participating in special projects, and providing secretarial, translation and administrative assistance and support to the Director Human Resources Europe.

III. QUALIFICATIONS REQUIREMENTS

A. Education and Knowledge

  • High school diploma or “Abitur” or other European equivalent.
  • Relevant Bachelor’s degree, vocational training (Kaufmännische Berufsausbildung) or prior working experience in HR and/or payroll
  • Knowledge of German labor law desirable.

B. Skills

  • Excellent communication and interpersonal relationship skills
  • Excellent computer skills (Excel, Word)
  • Very customer service oriented
  • Ability to work under pressure with a high degree of precision and attention to detail
  • Fluency in German and English (written and oral)

Responsibilities:

Performs the below-listed tasks for a selected group of Banking Centers in compliance with the existing legal and tariff provisions, company agreements and policies and procedures. This also includes preparation and execution of all steps related to required works council participation in standard cases:

  • Process personnel measures under consideration of all relevant action steps, e.g. vacancy circular, verification of the requested measure, employment contract preparation, payroll notification.
  • Creation of documents for the handling of entry, exit and transfer processes (including works council hearings, employment contracts, job references, etc.).
  • Perform employee transfer and reallocation measures; process terminations and notice of change of employment contract conditions.
  • Provide effective guidance and support to line managers regarding recruitment, personnel selection, new employees’ orientation and any other questions that may arise in regard to employee relations.
  • Prepare and maintain/handle a wide range of personnel administrative tasks to include: maintain personnel files, up-date hiring lists, vacancy circulars, maternity leave, parental leave, resignations/discontinuations, subsidiary payments, absence without pay and calculation of salary continuation during sickness.
  • Checks monthly lists with tariff steps/reclassifications and salary increases for out of tariff associates for accuracy and updates personnel file; accordingly, prepares information letters for associates where applicable
  • Monitors and processes all salary increases for out of tariff associates on a monthly basis for payroll; provides monthly list to responsible HR Rep for information and personnel file update
  • Answer routine questions about labor and social laws, policies and procedures, and tariff agreement. As needed, coordinates answers or interpretation with the Director Human Resources Europe.
  • Keeps fully up-to-date with all task-related Company Policies & Procedures.

  • Handles employee complaints or grievances after consultation with HR Administrator, escalates complex cases to HR Administrator or HR Director where appropriate and necessary.
  • Independently compose German and English correspondence as required in response to incoming mail or inquiries. Where necessary after consultation with HR Administrator or HR Director Europe.
  • Translate documents from German to English or vice versa.
  • Validates payroll completion against pay slip simulation in alignment with HR Specialist (4-eyes-principle).
  • Handle specific HR-projects as assigned: e.g. draft of HR Forms or HR publications.
  • Signature authorities as per HR Approval matrix or if specifically assigned.
  • Replaces another Human Resources Representative during her/his absence.
  • Trusting cooperation with the works council and contact persons for employees.
