JOB POSTING SUMMARY

The HR Specialist for Adjunct Faculty is responsible for facilitating administration of Adjunct Faculty hires, including all compensation matters and records management for adjunct faculty under the Collective Bargaining Agreement.

REQUIRED SKILLS & EXPERIENCE:

  • Three to five years’ experience in an administrative support role or equivalent education; experience in higher education preferred
  • Strong written and oral communication skills; problem-solving, organizational; and presentation skills
  • Able to manage multiple projects with competing priorities in a fast-paced environment.
  • Must be detail-oriented and maintain high levels of confidentiality
  • Able to work independently with demonstrated initiative to follow through on projects to completion meeting established deadlines
  • Familiarity with Student Information Systems such as Banner, reporting applications like Argos, and form design and maintenance applications like Formstack and Microsoft forms
  • Proficient in MS Office suite

EDUCATION REQUIREMENTS:

  • Bachelor’s degree required

Responsibilities:

  • Oversee maintenance and accuracy of adjunct faculty information in Banner
  • Manage data regarding adjunct faculty and create data analyses and reports on part-time instructor activity as needed relative to course assignments and payments, or other reporting needs
  • Manage Faculty Load and Compensation (FLAC) process to facilitate course assignments and faculty compensation
  • Review all course assignments for accuracy and workload limits, generate compensation for all adjunct and overload assignments, and prepare accurate compensation data for Payroll upload
  • Collaborate with the Academic Affairs Financial Planning & Academic Operations team with adjunct compensation responsibilities including payments for awards, internal grants, and other special project payments
  • Communicate updated adjunct faculty personnel information in collaboration with Academic Departments, Human Resources, and Payroll (e.g., change in rank, credentials, resignations, terminations)
  • Communicate with other areas of the University and external parties as appropriate regarding adjunct faculty matters
  • Maintain accurate and up-to-date adjunct faculty information in Banner and master files related to adjunct faculty actions and dates, provide records-management support regarding adjunct faculty for University-wide needs, and support other documentation and processes related to adjunct faculty affairs
  • Communicate with Academic Unit Heads, Deans, and staff on adjunct faculty matters.
  • Communicate with Adjunct Faculty regarding onboarding and SEIU Collective Bargaining Agreement (CBA) updates, as needed
  • Communicate changes in process to all parties involved in the workflow (Deans, Associate Deans, faculty (f/t or p/t), and other administrators)
  • Other duties as assigned
