DEPARTMENT: Human Resources
We are seeking a temporary Human Resources Administrator to assist the HR team (3-month term) to help with file management and maintenance, coordination of training as required as well as support the team with recruitment and other HR tasks.

EXPERIENCE/EDUCATION

  • Organized and possess a serious understanding of confidentiality and data protection
  • Proven experience working in an administrative environment
  • HR experience and/or certification would be considered an asset
  • Knowledge of filing systems
  • High school diploma or equivalent

Responsibilities:

  • Check incoming paperwork (correspondence, invoices etc.) and make copies before distributing
  • Coordinate training logistics such as booking rooms, printing materials, collecting RSVPs, etc.
  • Lead recruitment efforts for labour positions
  • Support other HR functions as needed
  • Sort all papers alphabetically and according to content, dates, significance etc.
  • Create or update records with new files and information
  • Store all paperwork in designated places securing the important documents
  • Enter paperwork into an electronic system either by data entry or by using optical scanners
  • Deal with all requests to access files and keep logs of borrowed papers
  • Develop an efficient filing system to make updating and retrieving files easier
  • Follow policies and confidentiality dictations to safeguard data and information
  • Monitor inventory of files, paper clips etc. and report shortages
