Description:
Summary: The Human Resources Assistant provides essential support to the HR department by assisting with daily operations, maintaining employee records, and facilitating communication within the organization. This role requires a high level of confidentiality, strong organizational skills, and the ability to handle multiple tasks efficiently.
Essential Duties and Responsibilities include the following. Other duties may be assigned to meet agency needs.
- Maintain employee records and ensure compliance with all applicable policies, laws, and regulations
- Prepare and process HR documentation.
- Serve as a point of contact for employee inquiries regarding Human Resource matters and direct them to the proper HR team member.
- With the direction of the CHRO and Employee Relations Specialist, conduct regular audits on employee information and files to ensure accuracy.
- Communicate with other departments to facilitate HR-related initiatives.
- Support onboarding new employees by completing needed paperwork, employment verifications and background check processes.
- Provides support in coordination of employee events or other related activities.
- Ensuring good relations and communication with all members of the team and respond politely and in a timely fashion to internal and external customers.
- Assist with training education sessions and employee development programs.
- Support HR projects and initiatives as needed.
- Stay updated on HR best practices and changes in employment law.
- Complies with federal, state and company policies, procedures and regulations
- Maintains confidentiality of all information and complies with HIPAA regulations.
- Demonstrates knowledge of and supports Westbrook Health Services mission, vision, values, policies and procedures, operating instructions, confidentiality standards and code of ethical behavior
QUALIFICATION REQUIREMENTS:
- Strong customer service skills.
- Must be able to work in a team environment.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to handle sensitive information with discretion.
- Familiarity with HR software and Microsoft Office.
EDUCATION AND/OR EXPERIENCE:
- Associate’s degree in related subject required, bachelor’s degree preferred. HR Certification preferred (PHR or SHRM-CP or equivalent)
- Experience working in a HRIS (UKG, ADP, Kronos, etc.)
- Minimum 2 years’ Human Resources experience working in a fast-paced environment.
- Must pass Criminal Investigation Background and DHHR background checks as well as post offer drug screen.
