Description:
JOB SUMMARY:
The Human Resources Associate may be assigned to any of the following human resources administrative duties, including, but not limited to: Coordinates and completes all administrative work to compute payroll within the electronic human resources information/payroll system to include employment status, salary, position, leave, payroll deductions, and any information stored within the human resources/payroll system; administers benefit plans including, but not limited to Health and Welfare (H&W), Workers’ Compensation (WC), Family Medical Leave Act (FMLA), Short Term Disability (STD), Long Term Disability (LTD), and any other leave that would be applicable; provides coordination and tracking of training both internal to the Agency and the community as needed; assists with talent acquisition background checks, credentialing, employment contract preparation and renewals, etc.; performs other Human Resources administrative tasks as may be assigned by the Supervisor or the Chief Human Resources Officer.

- General knowledge of employment issues.
- Knowledge of office procedures and equipment.
- Knowledge of legal standards regarding personnel records.
Minimum Requirements
EXPERIENCE/EDUCATION REQUIRED:
Three (3) years of experience in human resources preferred or an equivalent combination of administrative experience, education, and training to fulfill the job duties.
An Associate’s degree is preferred.
Valid Driver’s license with a safe driving record

Responsibilities:
ESSENTIAL FUNCTIONS:
- When assigned, responsible for maintaining current salary and position information on each employee to include demographics, salary, tax withholdings, voluntary/involuntary deductions to include insurance, pension, life insurance, etc…
- When assigned, prepare employment contracts to include renewals for any staff working less than 37.5 hours weekly and 12 months annually.
- When assigned, respond to individuals/agencies requesting data, such as financial institutions and the Virginia Employment Commission.
- When assigned, administer all Health and Welfare and Leave Benefits to include WC, FMLA, STD, LTD. Provide assistance to supervisors and employees with proper procedures in relation to FMLA.
- When assigned, function as Worker’s Compensation liaison between staff, medical facilities, and carrier. Maintain files on each claim to include reports and medical bills.
- When assigned, instruct new employees on the training database to include instructions on operating within the training system, and provide technical support to Agency employees for all aspects of the training database. Conduct CPR/First Aid Training for new hires/recertifying employees, as required. Maintain trainer certification on CPR/First Aid Training, etc.
- When assigned, administer new hire appointments to include processing of electronic fingerprinting, Virginia Department of Social Services Central Registry checks, perform and evaluate Department of Motor Vehicle record checks, and coordinate drug screens for Logisticare drivers. Track results of all record checks and follow up with any notifications to supervisor.
- Maintain Personnel Records in accordance with established standards including filing of files within the employee file room. Perform random audits and/or supply information for human resources/payroll-related requests. Prepare monthly report and conduct search in the LEIE Database (List of Excluded Individuals and Entities with the Office of Inspector General), as assigned. Prepare monthly report and conduct search in the SAM Database (System for Award Management with the U.S. Federal Contractor Registration), as assigned.
OTHER DUTIES:
- Participate in meetings and trainings as requested by the Supervisor and /or the Chief Human Resources Officer.
- Perform such other duties as assigned by the supervisor and/or the Chief Human Resources Officer..
