Description:

QUALIFICATIONS:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1-3 years of experience in HR operations, HR administration, or a similar role.
  • Strong understanding of HR processes, systems, and data management.
  • Experience with HRIS platforms like KAMI Workforce; familiarity with JazzHR is a plus.
  • Proficiency in using Google Workspace, Slack, and ClickUp.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a remote work environment.
  • Strong communication skills, both written and verbal.
  • Knowledge of labor laws and data privacy regulations.

Responsibilities:

  • HR Systems and Data Management

  • Oversee and maintain the Human Resource Information System (HRIS) to ensure accurate, secure, and up-to-date employee data.

  • Manage employee data, including personal information, job details, and employment history, ensuring compliance with data privacy regulations.
  • Generate HR reports and analytics to provide insights into workforce trends, demographics, and other key metrics.
  • Employee Records Management
  • Create and maintain employee 201 files and ensure that all documentation is complete, accurate, and accessible through Google Workspace.
  • Organize and maintain digital files, ensuring records are securely stored and easily accessible to authorized personnel.
  • Prepare and organize employee records for internal and external audits, ensuring compliance with legal requirements.
  • Employee Onboarding and Offboarding Support
  • Coordinate the onboarding process using ClickUp to track tasks, including creating employee records, setting up system access, and distributing onboarding materials.
  • Manage the setup of new employee accounts and access to company systems, ensuring new hires are fully equipped to work remotely, with communication facilitated through Slack.
  • Facilitate the offboarding process, including deactivating employee accounts and retrieving company assets, and tracking the process in ClickUp.
  • Payroll and Benefits Administration
  • Manage payroll processing using KAMI Workforce, ensuring timely and accurate payment, and resolving any discrepancies.
  • Administer employee benefits programs ensuring employees are informed and enrolled in the appropriate programs.
  • Provide support to employees with payroll and benefits-related inquiries via Slack, resolving issues promptly.
  • IT-Related HR Functions
  • Oversee the procurement, setup, and issuance of laptops and other necessary equipment to employees, coordinating tasks in ClickUp.
  • Manage the deactivation of employee accounts during the offboarding process and retrieval of company assets.
  • Coordinate with external IT support providers to handle technical issues and system maintenance.
  • HR Dashboard Management
  • Manage and maintain the HR dashboard, ensuring it provides accurate and up-to-date insights into key HR metrics.
  • Ensure integration with the HRIS and other relevant systems for real-time data updates.
  • Provide training and support to HR team members on using the HR dashboard effectively, utilizing Google Workspace for documentation and training materials.
  • HR Administration Support
  • Assist in the preparation, distribution, and storage of HR-related documents, including contracts and offer letters, using Google Shared Drive.
  • Support HR projects by coordinating tasks and ensuring timely completion of deliverables through ClickUp.
  • Vendor Management
  • Assist in the selection and management of HR-related vendors, such as benefits providers and external IT support.
  • Monitor vendor performance to ensure services meet company needs and expectations.
  • Manage the processing of invoices and payments to vendors, ensuring accuracy and timeliness, with records maintained in Google Workspace.
  • Issuing Certificates of Employment
  • Handle the process of issuing Certificates of Employment for current and former employees.
  • Prepare and issue accurate Certificates of Employment, ensuring compliance with company records and legal requirements.
  • Maintain records of all issued certificates in Google Shared Drive for future reference.
  • Continuous Improvement of HR Operations
  • Continuously evaluate HR operations processes to identify areas for improvement and implement changes to streamline workflows, utilizing ClickUp for task management.
  • Leverage technology and automation tools to improve the efficiency and accuracy of HR operations tasks.
  • Stay updated on industry best practices in HR operations and integrate new ideas and approaches to enhance processes.
