Description:

The Human Resources Coordinator reports directly to the HR Manager and is responsible for providing essential administrative support to the HR department. This position involves a variety of confidential, administrative, and clerical tasks to ensure the smooth operation of HR functions, including file maintenance, recruitment and onboarding, payroll, and HRIS data entry. The HR Coordinator supports the HR Manager by assisting with various initiatives aimed at maximizing the agency’s efficiency and effectiveness, contributing to a positive work environment and enhancing overall HR processes.

QUALIFICATIONS:

  • 1-3 years of related experience in Human Resources required.
  • Bachelor’s degree in human resources or a related field preferred.
  • Familiarity with ADP Workforce Now is a plus but not required.
  • Basic knowledge of employment laws and HR best practices preferred.
  • Ability to demonstrate professionalism and ethical behavior at all times.
  • Advanced proficiency in computer skills including the entire MS Office programs including Outlook and MS Word, word-wide web, internet communication programs, and computer software programs. PowerPoint desirable.
  • Excellent organizational and interpersonal communications skills.
  • Solid writing, editing and presentation ability. Excellent proofreading skills.
  • Ability to work independently, demonstrate initiative, complete tasks assigned.
  • Ability to pay attention to detail and also remain “big picture” oriented.
  • Ability to work under pressure, set priorities and meet deadlines.
  • Ability to handle sensitive information with confidentiality, diplomacy and tact.
  • Professional demeanor, flexibility and ability to respond to multiple demands.

Responsibilities:

  • Serve as the first point of contact for the Human Resources team, answering a broad spectrum of HR related questions and providing guidance as needed.
  • Maintain a thorough understanding of Promises2Kids policies, procedures, benefits, and current practices to effectively assist with inquiries.
  • Support Promises2Kids supervisors and employees with bi-weekly payroll. Review timecard problems and discrepancies and work with appropriate supervisors to resolve them.
  • Maintain digital and physical employee personnel files and I-9 records according to policy and legal requirements.
  • Assist the HR Manager in performing quarterly audits of HR records to ensure compliance and accuracy.
  • Manage clerical and administrative tasks including preparing and processing employment verifications, EDD paperwork, memos, and letters.
  • Support the HR Manager in the recruitment and interview process.
  • Coordinate onboarding and lead new hire orientation.
  • Assist with the preparation and follow up of the 90-day and annual performance review process, ensuring timely completion.
  • Assist with benefits administration, including 401(k) management and responding to benefit enrollment questions.
  • Support employee offboarding by managing folders, final timecards, expense reimbursements, and processing in ADP Workforce Now.
  • Responsible for maintaining office safety, including reporting, and addressing any unsafe conditions. Takes an active role in creating a safe and healthy work environment.
  • Regularly communicate with HR Manager about agency issues, escalating issues/inquiries as necessary.
  • Maintain strict confidentiality of all HR-related data and matters.
  • Assist with organizing employee activities and recognition programs such as, Monthly Fun Committee Meetings, Friday Mingle and Cultural Celebrations, Anniversary and birthday messages.
  • Serve as backup for Front Desk Office Assistant as needed.
  • Performs additional duties as assigned.
