Description:

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:

Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
Travels to various destinations for conferences, seminars, training, etc. where there could be discomforts associated with changes in weather.

Responsibilities:

  • Reviews electronic timecards, ensures proper leave balances are maintained, applies edits as needed and enters data and corrections into the time system on a weekly basis; advises the supervisor of constant tardiness, excessive absences and other related attendance issues.
  • Plans, prepares, updates, and monitors personnel records; files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner; inputs data and generates various personnel reports and lists.
  • Types correspondence, agreements, check requests, agendas, minutes, newsletters, bulletins and/or reports in an accurate and timely manner; acknowledges routine correspondence not needing Corps Officer instruction.
  • Prepares, types, and processes correspondence, proposals, contracts, agreements, statistics, check requests, forms, court or legal documents, notices, bulletins, agendas, schedules, minutes, manuals, etc.; ensures the accuracy, completeness, and timeliness of the same.
  • Prepares and proofs various routine reports; compiles and records information and statistics necessary to generate routine reports; proofs reports for errors and to ensure they are grammatically correct; answers
  • telephone in a courteous and tactful manner; greets and assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the Army’s operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Trains and assists employees in the proper usage of the implemented human capital management system; troubleshoots basic errors and reports major issues to Divisional Headquarters.
  • Assists the supervisor by updating and submitting monthly enrollments, terminations, and changes to the billing statement for The Salvation Army Health Plan for Divisional Headquarters; assists in delivering open enrollment documentation.
  • Performs the necessary data entry functions required to submit new hire/termination, background check and e-verify requests; monitors electronic responses and notifies the supervisor of the same.
  • Completes necessary paperwork and data entry functions to ensure that all drivers are approved and are in compliance as required by state and/or organizational policies and standards; updates records as necessary.
  • Leads employee orientation meetings as prepared and provided by Divisional Headquarters; explains employee policies, local procedures, and office expectations; monitors general office behavior and reports breaches to the Corps Officer.
  • Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.
  • Posts and advertises available job openings and accepts and reviews applications and resumes from prospective employees. Forwards qualified applicant information to the various supervisors for consideration as potential employees; participates in the interview process of the qualified candidates as requested.
  • Recruits and participates in the screening and selection of volunteer staff ensuring adequate staff is maintained to meet program needs; processes required documentation for the background check and approval process.
  • Prepares and maintains up-to-date records and statistics on all volunteers; prepares annual report regarding the status of the volunteer program.
  • Monitors and ensures completion of 90 day and annual evaluations by supervisors and department heads; maintains pay increase records for appropriate storage as provided by Divisional Headquarters; audits increase reports to ensure accuracy.
  • Prepares, maintains, and updates office records, documents, logs, calendars lists, files, purchase orders, etc.; inputs and updates information in computer database; researches office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.
  • Answers telephone in a courteous and tactful manner; assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the Corps’ operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Receives donations as they come in; makes copies of checks, writes and sends thank you letters, issues subsidiary receipts, makes deposits, and forwards copies of deposit information to DHQ finance according to policy.
  • Processes and scans all invoices; reviews same to verify goods and/or services charged for are valie; uploads same to DHQ.
  • Checks PO box daily.
  • Contacts vendors regarding discrepancies in bills.
  • Maintains inventory for safes.
  • Assists with audit preparations (i.e. mail handling, receipts issued, safe review, accounting process, and internal controls) of the local unit.
  • Receives, sorts, and distributes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination; collects and prepares outgoing mail.
  • Photocopies and/or shreds a variety of items including correspondence, forms, reports, and documents.
  • Distributes general information regarding The Salvation Army’s services, programs, conferences, seminars, etc. in an accurate and timely manner; compiles mailing lists and ensures the accuracy and completeness of the same.
  • Performs work for special & or seasonal projects and events as requested.
