Job Description Summary
The HR & HRIS Coordinator possess fundamental basic HR and HRIS knowledge. It serves as receptionist and provides administrative support in the Office of Human Resources, as well as serves as serves as a backup to the HRIS Department. Assists incoming calls and walk-ins from employees and the general public, record-keeping, file maintenance and HRIS entry; while providing exceptional customer service. The incumbent plays a key role in directly supporting the HRIS Team and Office of Human Resources’ programs, processes and policies across the organization and has the opportunity to collaborate with other functions of the department such as Benefits, Compensation, Payroll, and Talent Management. The incumbent also has an active role in ensuring all human resource functions are complying with local, state and federal regulations.
In supporting the HRIS department as a coordinator the incumbent will coordinate and monitor information entered into HRIS system (Banner) as well as PeopleAdmin. This will include New Hires, job changes, wage changes, address updates, supervisor updates, performance review system administration, and other HR related actions as the backup to the HRIS department.
This position reports directly to the Executive Director of HR or (CHRO),

Minimum Qualifications

  • Three years working in an office setting.
  • Requires at least three years of usage of Microsoft Suite with a emphasis on Word and Excel.
  • Ability to read, write, and speak proficiently.
  • At least one year using Banner employment programs with Finance/ Budget experience.
  • Customer Service background.
  • General experience with computers and typing.

Preferred Qualifications

  • Knowledge of Banner, PeopleAdmin, Excel, and ADP.
  • Outstanding guest and greeting skills.
  • Professional demeanor.

Duties

Responsibilities:

SPECIFIC DUTIES

  • Responds to HR general email box, walk-ins, phone inquiries, and requests from staff and general public.

  • Supports Executive Director of HR with administrative duties assigned.

  • Using ADP, coordinates and completes employee verification requests between HR/Payroll and outside agencies.

SPECIFIC DUTIES

  • Data Analytics: Send university mass emails as needed. Serve as the back-up for HRIS team includes, but is not limited to: Assist with website directory updates; Faculty Load and Compensation (FLAC) assistance, including assisting in monitoring the FLAC email account; pulling reports/responding to data requests, including report creation. Participate and contribute to the implementation of new processes projects in collaboration with the HRIS Department. Including new modules, enhancements, and upgrades that are directly related to the duties of the position and the team. Creates, updates, and maintains SOPs for own processes.

  • Performs general clerical duties to include but not limited to; data entry, filing, photocopying, faxing, opening and dispersing department mail, mailing items, supply inventory, ordering supplies and function of office machines.

  • Responsible for coordinating and processing employee exit procedures including coordinating exit interviews, collecting and processing exit paperwork, completing exit/termination data entry in Banner (HRIS system), etc.

  • Assists Executive Director of HR with departmental budget oversight. Regularly reviews accounts and provides reports to the Executive Director of HR. Ensures that all HR payables are correctly processed and coded by Accounts Payable. Requests corrections and adjustments when necessary.

SPECIFIC DUTIES

  • Using ADP, coordinates and completes employee verification requests between HR/Payroll and outside agencies. Serve as point of contact for all subpoena requests and document preparation. Also serves as the back-up for unemployment forms and responsible for ordering and distributing Labor Law posters.
