Description:
POSITION SUMMARY:
The Human Resources Information Systems (HRIS) Coordinator is responsible for assisting in maintaining the HRIS system. Ensuring accuracy and providing support to HR staff and all employees with the program. This role will ensure data precision by verifying all the information entered into VIP is accurate and up to date, allowing opportunity for process improvement by analyzing data flows. This role will assist the HRIS Analyst with the configuration of new VIP modules and support through the parallel test phases. Responsible for assisting with effective HRIS procedures and reference documentation, producing reports, investigating and troubleshooting system issues, and resolving related challenges.
QUALIFICATIONS/EDUCATION REQUIREMENTS:
- College Diploma (2 years) in Human Resources Management or Information Technology
- 1-2 years previous HRIS experience; VIP preferred
- Experience with producing and analyzing a variety of Human Resources management reports
PREFERRED SKILLS:
- Intermediate to advanced skills in Excel
- Knowledge working with Employment Standards Act and Union Collective Agreements
- Ability to multi-task and fast paced working environment
- Excellent verbal and written communication and organizational skills
- Strong attention to detail, analytical and data problem solving skills
- Proven ability to manage confidential and sensitive information in a professional manner
- Good understanding of Human Resource practices, reporting needs, data analysis and auditing

Responsibilities:
HRIS Support
- Assists in the review of current HR processes and systems and makes recommendations for improvement.
- Maintains up-to-date process and system documentation.
- Assists in identifying, evaluating, testing, documenting and implementing new or revised HR processes resulting from system updates/releases
- Ensures the County’s Intranet is reviewed regularly, and information is correct and up to date. Assuring current VIP guides and documentation for HRIS processes.
- Assists with troubleshooting and resolving system issues. Responds to inquiries from employees through the VIP ticketing system with respect to HRIS related issues.
- Assigning tickets to the HRIS team accordingly.
- Assist in reviewing Entitlement Banks each month to ensure accruals and rules are being applied accurately.
- Collaborate with all departments to develop and implement new HRIS features and functionalities to meet organizational requirements.
- Maintain system security by managing user access and permissions.
End user training
- Develops and delivers end-user training on HR systems and procedures.
- Helps to develop and maintain training manuals, forms and other documents. Make sure to keep the County’s Intranet up to date.
HRIS reporting
- Assists all departments in collecting, collating, and analyzing HR data for reporting purposes
- Assists the HRIS Specialist in conducting system audits to ensure data accuracy of HR records and the integrity of HR data sources.
Position Management
- Validation of position changes in VIP are entered accurately and consistently.
- Making sure the schedules for employees are updated and accurate.
- Ensure data field relationships meet expectations (ex. Temporary employees having contract end dates, student jobs having student employee type); if not meeting expectations, identify the issue and bring it to the team for discussion.
- Review bi-weekly exception reports within the BI tool to ensure accuracy of position changes.
