POSITION DESCRIPTION:

The Human Resources Associate, located in Newark, NJ, works closely with the Director, Human Resources to provide professional and administrative support in a variety of functional areas. This is a full-time entry level HR position with the opportunity to learn, grow, and develop within a dynamic HR team.

QUALIFICATIONS:

  • At least 1 year of previous experience working in a HR related role preferred (Relevant Internships included)
  • Knowledge of FLSA, FMLA, Title VII, ADA, and other employment-related laws and regulations preferred
  • Candidate must possess excellent verbal and written communication skills, as well as strong organizational and critical thinking skills.
  • Possesses average proficiency in Microsoft Office (Word, Excel, V-Lookups, Outlook, PowerPoint)
  • Experience with ADP Workforce is a plus
  • Must be a strategic and critical thinker who is dynamic, forward thinking, extremely analytical, an “out-of-the-box-thinker”; and well organized.
  • Must be an exceptional planner with the ability to coordinate multiple projects at the same time.
  • Possess the ability to interact and communicate with employees at all levels.
  • Ability to work collaboratively and independently in a fast-paced environment
  • Must demonstrate a high degree of dependability and can work a full-time schedule.

Responsibilities:

  • Facilitate new hire onboarding including communicating with new hire applicants, sending and monitoring online onboarding tasks, preparing welcome kits, and ensuring new hire set-up.
  • Facilitate employee exit and departure process.
  • Process employee personnel data changes, promotions, timekeeping actions, terminations, organizational changes, title changes, etc., pursuant to company policies and procedures.
  • Maintain & file employee personnel records; both past and current records to ensure legal compliance (i.e. onboarding documents, I-9s, W-4s, etc.)
  • Responsible for completing incoming unemployment claims & employment verifications
  • Ability to work efficiently and in a timely manner with our payroll team to maintain up to date information in our employee timekeeping system (ABI)
  • Assist with conducting internal quarterly audits to ensure legal and regulatory compliance
  • Stay up to date on new HR regulations, policies, and procedures including but not limited to Collective Bargaining Agreements for union employees (CBA’s)
  • Manage and maintain employee records and data integrity in the HRIS system.
  • Handle the inventory of HR supplies and materials.
  • Work with Director, Human Resources to support and/or lead employee engagement initiatives.
  • Support, implement, set up, and break down various employee programming events.
  • Maintain compliance with applicable reporting requirements including EEO-1, Benefit Audits, OSHA, OEWS, etc.
  • Assist with answering general staff inquiries.
  • Maintain human resource records in accordance with record retention policy.
  • Ensure confidentiality of information with utmost discretion.
  • Leverage HRIS to prepare and assist with ad-hoc reporting.
  • Complete verification of employment requests.
  • Collaboratively partner with teammates within the department to streamline and complete tasks and any applicable projects.
  • Perform other related duties as required and assigned.
