JOB DESCRIPTION

Human Resources Shared Services (HRSS) team is a critical part of the Human Resources department and provides first line support to employees across the company. The HRSS team is often an employee’s most common contact with HR and deals with everything from responding to a general HR inquiry, providing end-user support for HR tools and systems, processing employee related transactions, ensuring smooth on-boarding and compliance, and more. This role is located in our European headquarters in Dudelange/Luxembourg, and will report to the HR Shared Service Manager EMEA located in Dudelange/Luxembourg.

QUALIFICATIONS

  • Administrative education or equivalent experience
  • Some years of work experience gained in Human Resources or customer facing roles where primary interactions via electronic means (phone, e-mail, Teams, etc.)
  • Experience in the usage of PeopleSoft and Lux payroll would be a strong asset
  • Working knowledge of all MS office applications
  • Excellent written and verbal communication skills, ability to effectively explain basic and complex processes to customers
  • Communicate well with team and others and provide / be receptive to feedback
  • Aptitude to solve conflicts in a friendly and open-minded manner
  • Influence others to work towards common business goal
  • Technically savvy, able to quickly learn and use new systems and technology
  • Strong inclination for problem solving and root cause analysis
  • Experience effectively handling confidential information
  • Detail oriented, self-directed and be a strong learner
  • Fluent in English, German and/or French

Responsibilities:

  • Conducts on-boarding to new team members
  • Manages team member benefit administration including inquiries, enrollments and changes
  • Responsible for leave management working with the Team Member, Team Leader to ensure employee leaves (including vacation, maternity leaves, and sickness,) are processed correctly. This includes ensuring paperwork has been prepared and completed, People Management system is updated, and hours are coded/entered in Time entry system
  • Maintenance of holiday schedules for the different EMEA countries
  • Prepare weekly and monthly reports for different people within the organization
  • Responsible for preparing employment contracts, transfer and promotion letters and creating new hire and termination packages
  • Accountable for updating and maintaining People Management Software (PeopleSoft) and our Timecard tracking system with team member information which include processing new hires, terminations, compensation changes and tracking training and professional development
  • Accountable for updating and maintaining Regions OT with team member and team leader information which includes communication with different vendors in charge of calculation
  • Maintains employee files
  • Participates in process evaluation and technology projects impacting the HRSS team, as well as other groups
