Description:
HUMAN RESOURCES SUPPORT SPECIALIST
This position requires an active Secret clearance.
Provide support to the HR Program Specialist Support Services in The Bureau of Western Hemisphere Affairs, Human Resource Office. Primary responsibilities include managing awards and intern programs, coordinating staff check-in/check-out, generating reports, program management, and maintaining communication with stakeholders on processes and deadlines.
HUMAN RESOURCES SUPPORT SPECIALIST EXPERIENCE, EDUCATION, SKILLS, ABILITIES REQUESTED:
- Associates degree preferred and 2 years of related Human Resources experience, or an equivalent combination of education and experience OR 3 years of working experience in HR will be considered in lieu of education.
- PHR preferred
- Requires an active SECRET Security Clearance

Responsibilities:
- Assist WHA Family Member Employment Coordinators (FMEC) by providing guidance to recruitment specialists at Posts, help ensure that requests are properly filled out with the correct information, maintaining SOPs and cable templates, and a library of FAQs.
- Assist with managing the WHA awards inbox by ordering of certificates and answering emails based on FAM, GTM, and WHA guidance.
- Review and maintain the bureau award spreadsheet for presentation to the S/HR Specialist, and Deputy Director that details the number of award submissions, approvals, awards returned for resubmission, and those finalized in GEMS. Distribute award nomination packages to Awards committee members and track processing.
- Communicate with posts, managers, and other bureau award coordinators about the process for completing award submissions and deadline dates mandated by the bureau and GTM.
- Assist with WHA Student, Fellowship, and Intern Programs including Pickering and Rangel Fellowship, Pathways Internship, Recent Graduates Program, and the U.S Department of State Paid Internship Program under the guidance of WHA Bureau Intern Coordinator. Coordinate placements domestically and overseas. Answer questions from participants, domestic offices, and overseas Posts.
- Assist with generating personnel reports or trackers for the section that track the status and progress on multiple human resources related issues for bureau employees.
- Coordinate Atlas tasks for the EX/HR Section including initiating check-in & check out for arriving and departing staff. Liaise with other EX sections to ensure that new arrivals or departures are entered into the system timely.
- Assist with managing the WHA Reemployed Annuitant (REA) program by providing program information to prospective REAs, assembling and submitting to GTM/TS packets of required documents for new applicants as well as for annual extensions, coordinating assignments with domestic offices and EX/FRC, developing position descriptions, and maintaining files and trackers for the program.
