Job Summary
Under the general direction, provides university-wide customer support and guidance related to recruiting and staffing strategies to attract a pool of qualified and capable talent for the university and onboard new hires. Oversees, coordinates, evaluates, and processes submissions of recruiting and hiring requests. Develops and maintains standard operation procedures specific to area of responsibility. Serves as a member of the Office of Employee Services and on projects or initiatives as appropriate.
Work hours: Monday through Friday from 8 AM to 5 PM or as work requirements indicate. The position may require work responsibilities outside regular business hours; work hours may vary during peak season.
Essential Duties and Responsibilities
Ensures the university’s staffing needs by providing recruiting and hiring support.
Schedules recruitment plan meetings with hiring managers to assess departmental and position-related needs.
Discusses departmental needs and third-party recruiting venues, ensuring job postings are placed in as many venues as feasible.
Prepares job descriptions by reviewing the position details, such as job profile, position description and restrictions, minimum qualifications, compensation (target base salary), and essential skills for the role.
Consult with respective human resources team on updates to position descriptions, requisition creation, compensation, hiring criteria, and sourcing strategies.
Creates and uploads position descriptions for job requisition, ensuring minimum qualifications adhere to the job profile.
Devise recruitment strategy to ensure a pool of qualified individuals/applicants and to build a pipeline of potential applicants through employer branding initiatives.
Collaborates with and trains hiring managers and search committees to ensure adherence to recruiting processes and afford a clear candidate/interviewer expectation.
Determines selection criteria for candidates by liaising with hiring managers.
Places and updates job postings in various media, including internet/intranet sites, colleges, social networks, community boards, and staffing partners.
Researches and recommends new sources for active and passive candidate recruiting.
Conducts regular follow-ups with managers to determine the effectiveness of recruiting efforts. Creates and implements end-to-end candidate hiring processes to ensure a positive experience.
Provide support with generating interview questions that reflect the position’s requirements and are skills essential based on hiring manager feedback.
Respond promptly to internal and external applicant situations and requests as required.
Creates offer letters, maintains applicant tracking system, recruiting reports, and other staffing administration functions as needed.
Onboarding new employees by conducting and supporting new employee onboarding, ensuring the process is engaging and that processes are followed accurately. Ensures new employees have finalized onboarding-related steps before attending New Hire Orientation.
Guides hiring manager and supervisor regarding department-related onboarding steps.
Gathers records of all materials used for recruitment, including interview notes and related paperwork, and prepares per records management guidelines.
May attend System meetings, in person and remotely, related to area of responsibility.
Travels to off-site meetings when necessary.
Demonstrates a cooperative, positive attitude in the workplace. Works to attain departmental, divisional, and university-wide goals.
Processes and/or reviews non-immigrant and immigrant Petitions, labor certifications and other documentation for departments.
Advises hiring departments on immigration employment of foreign faculty and staff.
May assist with the end-to-end direct hire process from initial request through onboarding. Ensures process consistency and data validity. Assists in new employee onboarding. Monitors hire submissions for accuracy and work with hiring departments, payroll, benefits, and other data specialists to resolve errors.
Serves as the secondary point of contact for all new student workers, graduate assistants, and adjunct faculty and assists with pre-hire actions.

Minimum Requirements
Education - Bachelor’s degree in Human Resource Management, Business, or related field or equivalent combination of education and experience.
Experience - Two years of related experience.
Knowledge/Abilities - Proficiency with database, spreadsheet, and word processing programs. Analytical and report writing skills. Oral, written, and presentation communication skills.
Skills and Qualifications
Proactive and independent with the ability to take initiative. Excellent verbal and written communication skills.
Excellent interpersonal skills with good negotiation tactics.
Excellent time management skills with a proven ability to meet deadlines. Familiarity with social media, C.V. databases, and professional networks. Proficient in reading, interpreting, and verifying data in multiple formats
