POSITION SUMMARY:
The IELTS Test Centre, Testing Coordinator prepares and organizes tests, coordinates testing at the main test centre or at a testing venue on test days, and organizes and completes post-test activities. The Testing Coordinator is an expert in all IELTS (and other tests) testing policies and procedures, helping ensure compliance and successful internal and external audits. The Coordinator works with the Centre Manager to implement new procedures as required by test partners and deliver training to invigilators. The Coordinator applies policies and procedures consistently and yet with continual emphasis on providing excellent customer service.
EDUCATIONAL AND EXPERIENCE REQUIREMENTS:
- Three-year diploma or degree from a recognized post-secondary institution in Business, Education, or equivalent.
- Minimum three (3) years’ experience providing excellent customer service while working with people from diverse backgrounds.
- Experience as an invigilator or coordinator in a high-stake testing environment, preferably IELTS is required.
- Experience with supervising or coordinating staff in events management or high stakes testing is required.
SKILLS AND ATTRIBUTES:
- Proficiency is office systems (word processing, spreadsheets, Outlook and PowerPoint), and Web applications.
- Skills in computer hardware setup (audio visual in testing rooms, registration computer setup on test day).
- Solid time management, organizational, coordination, prioritization, and problem-solving skills.
- Excellent communication, collaboration, teamwork, and interpersonal skills at a professional level.

Responsibilities:
- Working with Clerk and Manager, follows detailed test setup checklists for IELTS and other tests (CELPIP).
- Prepares test rooms, test materials, and test supplies for up to 7 venues.
- Using specialized websites, prepares attendance register, examiner records, and other required testing documents and equipment.
- Picks up materials at test centre and delivers to venue(s) according to security protocols. Returns materials to test centre at end of day.
- Oversees part-time Test Day Coordinators at other centres to ensure materials are returned to secure storage.
- Follows test-day start-up checklists. Guides invigilators to ensure that the test centre / venue is set up according to protocol.
- Organizes all testing materials, registration kits, test papers, answer sheets (prepares for scanning). And supplies (coordinates with clerk to ensure adequate supply).
- Secure destruction of tests according to policies and secure storage of files and reports.
- Provides front-line support for potential candidates and registered test-takers.
- Other duties as assigned.
