Description:
DESCRIPTION:
Provide a full range of secretarial, clerical and administrative support to DOJs and/or attorneys.
REQUIRED SKILLS/ABILITIES:
- Practicing Catholic in good standing with the Church.
- Excellent verbal and written communication skills.
- Excellent organizational skills, time management skills, and attention to detail.
- Proficient with technology and ability to learn our software systems.
- Self-motivated with excellent interpersonal skills.
- Ability to prioritize tasks.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite.
- Must be fluent in English and Spanish.
EDUCATION AND EXPERIENCE:
- Associate’s Degree
- 1 year of Office Experience.
Responsibilities:
Principal responsibilities include, but are not limited to:
- Extensive client communication, including answering and returning calls and screening of clients.
- Maintaining office calendar by scheduling consultations and confirming appointments.
- Greeting, gathering information, and documents from clients.
- Processing incoming mail handling.
- Filing, scanning; and copying documentation.
- Processing cash and credit card payments.
- Entering data and proper information into company software system.
- Reconciles payments at the end of the month and makes bank deposits.
- Prepares and submits transmittals and check requests.
- Runs and submits reports of office performance monthly.
- Takes documents and mailings to the post office.
- Manages office supplies and postage inventory and ensures the office stays within budget.
- Makes travel arrangements for DOJs and/or attorneys.
- Maintain the strictest level of client confidentiality.
- Other clerical duties as they arise.
