Description:

The RNOH Procurement team is a dynamic and diverse team who supply the Trust with a first class service to ensure the right clinical equipment, for the right clinician and the right patient at the right time every time as well as supporting all depts. across the Trust in their procurement requirements.
This advertised role is for a 12 month Secondment/ fixed term contract only.
The key purpose of the role is to Provide support to the Logistics Manager / Project Manager throughout the duration of the implementation of an inventory management system and the work streams therein and assist in all aspects of the project in relation to all clinically related consumables, including all aspects of PPE under the direction of the IMS project lead manager and Supply chain & logistics Manager.
Other tasks and relationships will include working closely with a number of key Trust operational staff including Theatre management, departmental heads as well Trust stakeholder teams. These tasks will also include working with external stakeholders, e.g. North Central London Hospitals (NCL), NHS supply chain, NHSE&I and NHS England and other NHS partner organisations, particularly in relation to inventory management implementation in line with and including Scan4Safety.
Working hours are Mon-Fri 0800am – 1600pm 37.5 hours per week or Mon-Fri 0900am – 1700pm

The role of the System Implementation Assistant encompasses the following main responsibilities:

  • Assist with the setup and implementation of Inventory Management System
  • End User training, guidance and support
  • Stocktaking
  • Catalogue management and Template management within IMS system
  • Analysing data, interpreting and reporting results
  • Advice and guidance based on results of analytical work
  • Reporting on live stock data and advising on par levels based on SOP’s

The post holder will be responsible for assisting the Logistics Manager / Project Manager throughout the duration of the implementation of an inventory management system (IMS) . This role will include providing training and operational support to all users of the procurement IMS system across the project site. Please note, this advertised role is for a 12 month Secondmnet/ fixed term contract only.
As part of the role the post holder will be required to undertake periodic routines (daily, weekly and monthly) required to maintain the integrity of the catalogues and the system as well as Investigate enquiries and queries from all users of the procurement IT system including trust IMS
The post holder will be required to assist the logistics Manager / Project manager in the planning and implementation of new procurement systems as well as provide support on the maintenance of the procurement aspects of the system and to correct any anomalies within the systems, this includes supporting the implementation of additional modules and/or system upgrades; and carry out testing in a UAT environment managing mobile devices and communication threads with end users
Record and respond to any failures in respect of any part of the systems in liaison with finance Systems Managers and procurement system leads.
Organise and publicise the procurement IMS systems training through the appropriate channels and to support any additional procurement projects as required for the duration of the fixed term contract (12 months).
