Description:
Heritage Christian Online School (HCOS) is a ministry of Kelowna Christian Center Society (KCCS). KCCS was established in 1982 with a vision for the community and global influence. KCCS’ mission is “To reach, raise up and release people who are competent to represent their faith in every sphere of culture.”
HCOS has an opening for an IE Executive Assistant . This is a full-time, remote, permanent position at 40 hours per week. The primary purpose of this position is to oversee executive, administrative, and academic support to the Director of Inclusive Education and the Inclusive Education (IE) department.
As the IE Executive Assistant, your duties and responsibilities will include:
Manage and organize Outlook emails, Google Drive folders, and calendars for the Director of IE and the Admin Team, while coordinating meetings and maintaining meeting notes
Support the IE Division by writing, editing, and researching documents; creating presentations, newsletters, and reports; preparing for inspections and audits; and assisting with employee evaluations and onboarding/offboarding processes
Support the hiring process, including scheduling interviews, maintaining interview questions, note taking, completing new hire forms, and reference verification
File management and data collection for the IE Division
Support with administrative tasks for planning of events, including researching venues, booking transportation, accommodations, catering, and submitting IE budget requests
On-site support and oversight of administrative tasks for school-wide events
Any other related duties as requested
We are looking for someone with the following Qualifications & Skills:
Demonstrates a commitment to, and a lifestyle reflective of, the KCCS Foundational Beliefs.
A degree in Business Administration or Business Commerce is preferred
Strong executive assistant skills, experience preferred
Able to be discreet and handle confidential information sensitively
Ability to manage varying workloads and prioritize multiple tasks in a timely manner
Professional communication skills, strong writing skills
Solid understanding of project management, change management, and process improvement frameworks and principles
Proven event planning skills
Flexible attitude toward innovation and change
Technologically proficient: MS Suite, G-Suite, time and task management programs, databases, video editing, etc.
