Job Description:

JOB SUMMARY

Audits, resolves discrepancies, prepares and scans, retains, retrieves, and redacts Jail records for integrity purposes and responds to GRAMA requests and Subpoenas for records.

MINIMUM QUALIFICATIONS

One (1) year of full-time experience working in an administrative capacity in a professional office setting (government office, clinic or physician office, court or legal office, etc.).
Due to the nature of this position, the successful applicant must pass a required pre-employment background check.
Must be 18 years of age. Must be a U.S. Citizen.

Responsibilities:

  • Corrects inaccurate or incomplete Sheriff’s Office Criminal History Documents. Updates, merges, or expunges records in the Offender Management System (OMS).
  • Audits entry components in OMS for completeness and requests missing information or documents from Jail divisions prior to permanent retention. Updates DNA information in OMS.
  • Creates or updates Sheriff’s Office criminal rap sheets with pertinent information.
  • Reviews Bureau of Criminal Identification (BCI) hit list and updates OMS information from various sources.
  • Performs expungement research and expungement for adult Jail records to comply with BCI expungement orders.
  • Processes Subpoenas and GRAMA requests for records, reviews for legal and GRAMA requirements, determines need for DA Office review, produces, edits, or denies access to information as authorized. Assesses appropriate fees for retrieved documents.
  • Maintains Subpoena and GRAMA records and forms related to the release or non-release of documents and information.
  • Analyzes requests for criminal history records. Makes appropriate notification response to other divisions, law enforcement, public agencies, and courts when appropriate.
  • Prepares and assembles jail Release Packets for optical imaging. Prioritizes batches, assigns batch numbers, scans, and verifies documents.
  • Indexes scanned documents and performs final integrity checks on scanned documents.
  • Safeguards and maintains confidentiality of Sheriff’s Office records.
