Description:
SCOPE OF POSITION:
As a member of the insurance team, the bilingual insurance administrator provides daily support to residences and the real estate team to manage property losses and tenant claims.
EDUCATION:
- High School Diploma
- Knowledge and/or experience in handling insurance claims an asset
EXPERIENCE:
- 2 to 5 years administrative experience, preferably in the insurance industry
SKILLS & ABILITIES:
- Proficient in MS Office, with superior working knowledge of Excel, Word and Power Point Programs
- Proficient in MS Outlook and SharePoint
- Strong written and verbal communication skills
- Ability to maintain confidentiality of files
- Excellent customer service and negotiating skills
- Ability to work in a fast-paced environment and able to adapt to change
- Self-directed with the ability to juggle multiple schedules
- Ability to multi-task and prioritize multiple deadlines
- Organize and expedite work flow
- Ability to communicate verbally and in writing in both French and English

Responsibilities:
- Open and close insurance claims
- Monitor and verify, that all reports and costing of an insurance claim is received in the required time.
- Monitor and verify all Purchase Orders are processed
- Assist General Managers, Project Managers, Insurance companies, Restoration companies and others to move claims to completion using protocols in place.
- Procure all necessary information to move insurance claims forward in an extremely timely manner
- Submit email to 3 rd party adjuster notifying them of the potential claim
- Submit and follow up final email to 3 rd party adjuster regarding claims costs recovery
- Submit Final Release once recovery settlement is determined and agreed to by the Manager Risk and Insurance
- Liaising with external parties in a professional manner
- Maintain electronic documents for all claims
- Maintaining calendars using MicroSoft Outlook
- Organization and scheduling of meetings/appointments and the booking of meeting rooms
- Prepare Power Point presentations
- Prepare handouts for meetings
- Regularly maintain insurance claim spreadsheets and database
- Prepare analytical claims costing documents for corporate and for Manager, Risk and Insurance
- Liaising with other departments as required
- Handling and appropriately distributing incoming and outgoing mail
- Handling telephone inquiries
- Coding, processing invoices, preparing all emergency Purchase Orders, preparing repair Purchase orders when necessary
- Assisting corporate yearly insurance renewal, reviewing renewal documents, insurance certificate requests
- Other duties as assigned
