OK Clinical Therapy Group, a leading private clinical counselling practice, is seeking a reliable Intake & Administrative Coordinator to join our welcoming team in both our Kelowna & West Kelowna clinics.

Responsibilities:

  • Be the warm, professional face of our clinic, welcoming clients and handling intake with care and empathy.
  • Manage high volume of client calls, referrals, and initial intake assessments with strong communication and organizational skills for all locations.
  • Coordinate payments, invoicing, and liaise with counsellors on client needs, including weekly bank deposits.
  • Support client benefits, subsidies, and referral processes.
  • Complete essential administrative tasks, including scanning, faxing, mailing, database management, portal oversight and general duties.
  • Clinic’s facility oversight and general office upkeep.
  • Support with quality assurance outreach with clients.
  • Spend some time in community sharing about our resources and business under the guidance of our community relations manager.
  • Assist with project-based tasks and reporting as needed, working both independently and collaboratively with other administrators and management on our team.
