Our organization is seeking an Intake Specialist with strong attention to detail and the ability to work both independently and as part of a team in a remote setting. The successful candidate will coordinate the daily intake of clients at our organization, performing administrative work such as data entry and preparing paperwork for new clients. This is a busy position that requires the successful candidate to manage workflow while also remaining organized and professional. We’ll provide the training and guidance to help you flourish in your role on a tight-knit, supportive and passionate team!

INTAKE SPECIALIST REQUIREMENTS:

  • Bilingual (English/Spanish) speaking REQUIRED
  • A private, quiet work area free from distractions and background noise
  • Have the ability to be very personable and connect with clients
  • Respectful and effective communication with both clients and employees of the company
  • Candidate must be driven, resilient and persistent
  • Organized, ability to manage multiple clients
  • Ability to problem solve and when necessary, seek out support
  • Driven to always improve and learn
  • G-Suite & Slack savvy
  • Enjoy working in remote setting while part of a larger team spanning multiple time zones

EXPERIENCE:

  • Previous experience in a call center setting is preferred
  • Previous experience in a clerical or administrative role
  • Strong organizational skills with the ability to handle multiple tasks simultaneously
  • Proficient in data entry and working with document management systems
  • Excellent attention to detail and accuracy in transcribing information
  • Familiarity with proofreading techniques to ensure error-free documents

Responsibilities:

  • Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard
  • Reaching out to clients that are interested in our services (no cold calling)
  • Receive and process incoming documents, ensuring accuracy and completeness
  • Enter data into document management systems and maintain electronic files
  • Answer phone calls and provide excellent customer service with proper phone etiquette
  • Transcribe information from various sources and input it into appropriate formats
  • Perform administrative tasks such as filing, proofreading, and organizing documents
