The Integration Specialist - Ophthalmic Template and File Maintenance plays a critical role in ensuring the seamless integration of partner practices while maintaining high clinical standards. Responsibilities include ensuring accurate data import, management, and integration, as well as developing and customizing templates to improve clinical workflows. A thorough understanding of NextGen’s file maintenance protocols and template customization is essential for ensuring the platform aligns with the evolving needs of healthcare providers.

  • File Maintenance & Data Integrity

Oversee and manage the NextGen file maintenance system, including updating and auditing key data fields such as provider information, master lists, and fee schedules.
Develop a thorough understanding of file maintenance procedures and the NextGen system infrastructure.

Manage the data validation process for integrating acquisition data into NextGen.

  • Template Editing & Customization:

Customize and edit NextGen PM and EHR templates to meet the specific needs of clinical workflows, including creating new templates for documentation, billing, and administrative processes.
Collaborate with clinical staff to design and implement templates that enhance efficiency and accuracy in patient care documentation.

Update and refine existing templates to reflect changes in clinical protocols, regulatory requirements, and practice needs.

  • Integration & System Optimization:

Manage integrations between NextGen and third-party systems, ensuring accurate data processing and seamless communication between platforms.
Attain proficiency in NextGen PM, EHR, Optical Management, Clearwave, Luma, IMH, Solution Reach, PXP, and/or other relevant technologies.
Troubleshoot and resolve system interface issues to maintain optimal performance and prevent data loss or errors.

Identify and implement improvements in file maintenance and data management processes to increase efficiency.

  • Training & Support:

Provide training to clinical and administrative staff on NextGen’s file maintenance processes and template usage, ensuring team proficiency.
Support Go-Live events by ensuring templates and files are accurately configured and functional for new practices or system upgrades.
Serve as the primary point of contact for template and file maintenance issues, offering solutions and ongoing support.
Continuously review, update, and develop training materials, including creating new training videos to ensure accuracy and relevance.
Provide Go-Live support and training (virtual and on-site).
Generate scheduled reports and present data in the appropriate format.
Perform other duties as assigned.
