Description:

QUALIFICATIONS

Experience (3-5 years) in responsible secretarial or administrative support work; graduation from a two- year secretarial or administrative assistant program, supplemented by university level coursework in business administration or a related field is required; or an equivalent combination of experience and training is required will be considered. Knowledge of Microsoft Office and recording of minutes; excellent written and verbal communication skills, as well as strong organizational, time management and interpersonal skills are required. Experience with WebEx and Microsoft Teams, and knowledge of the university’s curriculum, academic structure and governance structure would be considered assets.
SALARY $52,675 - $61,793 per annum (Non-Bargaining)

Responsibilities:

The successful applicant will perform highly responsible administrative support work of a diversified nature requiring considerable initiative, independent judgement, attention to detail and discretion, in support of the Secretary of Senate. Duties include coordinating a wide variety of confidential and sensitive materials in providing support to Senate, including preparing agendas, coordinating and compiling materials and background information, arranging and attending meetings of Senate, and Senate committees such as the Executive Committee of Senate, the Committee on Honorary Degrees and Ceremonial, the Senate Committee on Academic Appeals and a variety of other committees as required; assisting in coordinating the business process of Senate and its committees; preparing responsive records to Access to Information requests; preparing minutes; preparing decision letters for academic appeals; receiving and processing confidential correspondence and drafting follow-up responses; maintaining a complex filing system and updates for the Senate web pages; editing the Senate Digest of Decrees and Resolutions and the Handbook of Senate Bylaws and Procedures; managing email, phone and in-person communication by screening, acting upon, redirecting and/or tracking correspondence to ensure follow-up and time compliance, all requiring sensitivity to the nature of contacts; arranging meetings; working collaboratively with the Secretary to Senate and the Assistant Secretary to Senate; and performing other related duties as required.
