We are looking for a dedicated and experienced Internal Business Manager to join our team. The Internal Business Manager will be responsible for overseeing the daily operations, maintenance, and administration of our Edmonton West building facilities as well as assisting in managing our overhead spend. This role requires strong leadership skills, excellent organizational abilities, and a proactive approach to problem-solving.
This position is based in the West Edmonton, AB. Bird office.
What You Will Be Working On
- Develop and manage the building’s overhead budget, approve invoices and expenses, and monitor financial performance in conjunction with Bird Finance
- Provide expense training & guidance for new employees while ensuring that corporate financial approval processes are met
- Manage lease and operating costs, perform rent allocations and provide input to Finance, Risk and other teams on office and overhead-related transactions
- Manage communication with the property manager and landlord to meet our company leadership’s needs.
- Ensure the building and immediate area is well-maintained, address maintenance issues promptly, and coordinate repairs and renovations with onsite contractors with minimal impact to employees
- Respond to general building inquiries and requests for repairs, seating changes, and improvements to office equipment. Work with Facilities and IT team members to perform minor repairs and building alterations as needed, such as moving furniture, installing signage and whiteboards, and setting up meeting rooms for events.
- Implement and enforce office safety protocols, conduct regular inspections, and ensure compliance with health and safety regulations.
- Develop and implement emergency response plans, conduct drills, and respond to emergencies effectively. Ensure that the office safety program is effective and well communicated.
- Maintain accurate records, prepare reports, and ensure compliance with all relevant regulations and policies.
- Oversee office communications and distribution lists for Edmonton office staff
What We Are Looking For
- Bachelor’s degree or diploma in either facilities management, business, construction, finance or relevant experience.
- Minimum of 3 years of experience as an Office Manager or a similar role.
- Skills:
- Strong problem-solving skills
- Excellent communication skills required for updates, notices and announcements
- Excellent organizational and multitasking abilities
- Knowledge of building systems and maintenance procedures
- Budget management and financial reporting skills
- Proficiency in relevant software applications
- Ability to work independently and make decisions under pressure
