Description:

REQUIRED QUALIFICATIONS

  • Undergraduate degree, preferably in fine art, from a recognized post-secondary university.
  • Minimum of three years’ recent experience working in an art gallery or university in an administrative capacity.
  • Or an equivalent combination of education and experience.
  • Demonstrated experience with the administration and project management of art projects, exhibition, or festival presentations.
  • Sound knowledge of exhibition development and implementation.
  • Demonstrated experience working with students and emerging artists.
  • Demonstrated experience working with large teams and multiple, interdisciplinary collaborators.
  • Strong systems thinker and problem solver.
  • Superior organizational and planning skills.
  • Strong attention to detail.
  • Strong interpersonal and communication skills, and a desire to collaborate.
  • Ability to take initiative and problem-solve.
  • Ability to work independently and as part of a team.
  • Ability to work well under pressure and complete work within set time constraints.

Responsibilities:

  • Leads the administrative support for the production of the annual Grad Show, including coordinating with faculty leads, administrative supports, technicians, Academic Affairs, Communications and Student Services. Updates appropriate timelines and budget documents, coordinates production schedules and adapts/modifies internal procedures to improve processes.
  • Supports the production of Grad Show outreach materials, signage, and website, including working closely with Communications and Events staff to facilitate content transfer and solicitation from students and faculty. Coordinates the flow of information for work placement, labels, and exhibition maps/ wayfinding.
  • Works closely with technical and preparator staff and Facilities on the spatial design and preparation of university spaces for Grad Show and other student presentations.
  • Coordinates the installation and de-installation timelines for Grad Show and other year-round presentation opportunities.
  • Leads institutional debriefs, reporting and creates recommendations for streamlining systems within the university in support of Grad Show and year-round student exhibitions opportunities.
  • Administers the Grad Show budget, creating and submitting payment vouchers, generating reports, tracking budgets, and organizing interdepartmental expenses.
  • Collects and maintains data regarding student participation in Grad Show and other presentation opportunities.
  • Liaises with the Student Union in support of Student Exhibitions opportunities, selection processes and installations throughout the school year.
  • Coordinates and/ or supports opportunities for student presentations (e.g.: mural installation in stairwells, media screens and other opportunities), in collaboration with the Student Union.
  • Works closely with Gallery staff to maintain exhibitions booking calendar; liaising with cross-institutional collaborators around bookings process, install and de-install timelines for student-led and curricular exhibitions.
  • With the Director + Curator, coordinates workshops, talks, and other learning opportunities around professional development for students year-round.
  • Reviews and maintains information guidelines for students, staff, and faculty regarding student exhibition opportunities.
  • Working with the Director + Curator and other appropriate departments/ faculties, supports the creation of strategic initiatives in support of student professional development, space allocation and presentation opportunities.
  • Completes internal event booking and risk assessment forms, as necessary.
  • Performs other related duties as required.
