Job Title: IT and Database Manager, NCIME
Location: Remote – Open to anywhere in Canada.
Department: Operations
Reports To: CEO
Starting Salary Range: $78,000 - $92,000

JOB SUMMARY:

As a member of the National Circle for Indigenous Medical Education’s (NCIME) Operations Team, the IT and Database Manager, plays a pivotal role in overseeing NCIME’s information technology systems and infrastructure for a small group of staff. Reporting to the CEO, the IT and Database Manager oversees IT Operations, ensuring the security and reliability of IT systems, and driving the implementation of new technologies to support business objectives. The IT and Database Manager is also responsible for NCIME’s data management and learning management systems which play an integral role in our organization. The IT and Database Manager collaborates with internal stakeholders to assess IT needs and develop strategic plans for technology deployment and management.

Responsibilities:

ROLE RESPONSIBILITIES:

  • Develop and implement IT policies, procedures, and standards to ensure the security and integrity of IT systems and data.
  • Plan and oversee the implementation of IT projects, including system upgrades, migrations, and deployments.
  • Oversee outsourced IT providers for infrastructure, off-hour coverage, 2nd tier support for day-to-day computer systems and networks across all aspects of the IT environment.
  • Monitor system performance and security, implementing necessary updates and patches to maintain optimal functionality and protect against cyber threats.
  • Provide leadership and guidance on IT-related issues, including budgeting, resource allocation, and risk management.
  • Collaborate with internal stakeholders to assess IT needs and develop strategic plans for technology deployment and management.
  • Evaluate emerging technologies and make recommendations for adoption based on business needs and industry trends.
  • Stay informed about regulatory requirements and compliance standards related to IT systems and data management.
  • Develop and implement NCIME standards for the acquisition and disposal of computer hardware and software.
  • Provide primary / first point of support for NCIME’s agents on the efficient day-to-day use of assigned technology devices, with the ability to escalate for additional support as required;
  • Implement and oversee NCIME’s records management and disposition strategy.
  • Assist with deploying and fulfilling the operation of information systems, devices, websites and technology solutions for organizational needs;
  • Managing, maintaining and developing our current cloud base help desk ticketing system that covers multiple operation responsibilities;
  • Create and manage user and group accounts in Azure and MS365, monitor system health, and ensure security;
  • Monitor IT outsourced services and ensure the completeness and reliability of services provided;
  • Set up, coordinate and document AFMC technology assets to properly facilitate the on/offboarding of staff, handling repairs, temporary storage and other requirements as assigned (including disposition);
  • Implement NCIME’s standards for the acquisition and disposal of computer hardware and software;
  • Perform periodic risk assessments of IT environment and identify remedial actions any potential losses to the organization;
  • Stay abreast with new or emerging trends, technologies and legislation, as well as testing new solutions, to minimize risk to the organization and external stakeholders;
  • Collaborate with cross-functional teams to assess IT needs and recommend appropriate solutions;
  • Provide user instructions via email, phone, or virtual channels, as well as conduct training sessions for hardware/software products, and cybersecurity;
  • Document IT procedures, configurations, and troubleshooting steps to facilitate knowledge sharing and training, while also developing and maintaining documentation for processes, protocols, and procedure;
  • Work with Human Resources to facilitate end-user training as required, in particular during onboarding;
  • Willing to travel occasionally and work flexible hours to meet deadlines, as required; and
  • Other duties as assigned.

What you’ll need to be successful in the role (essential qualifications):

  • Bachelor level degree in Information Technology or another relevant field or equivalent.
  • College-level diplomas/certifications plus 7 years’ experience will also be considered.
  • Minimum of 5 years relevant or related experience in the IT field with progressive experience into a senior IT or IT Management role.
  • Excellent problem diagnosis skills.
  • Strong verbal and written communication and interpersonal skills necessary to interact with several individuals at different levels of the organization.
  • Ability to explain technical concepts and theories to non-technical audiences.
  • The NCIME IT environment is comprised of Apple-based client with Microsoft productivity tools
  • Experience with administering MS365 tenant and mana and maintain web-based database, Microsoft Active Directory, Exchange, learning management system and contact management programs.
  • Knowledge of network management including IP configuration, network security and general firewall knowledge.
  • Strong leadership and management skills.
  • In-depth knowledge of IT systems and infrastructure, including Apple IOS hardware, software, and networking.
  • Familiarity with cybersecurity best practices and regulatory requirements.
  • Ability to develop and implement strategic plans for technology deployment and management.
  • Proficiency in project management, change management and budgeting.

While fulfilling job responsibilities, this role requires flexibility to work in different environments, including a remote home office setup, occasional travel, and participation in in-person meetings. Due to these demands, the employee will typically engage in the following activities:

  • Extended periods of sitting, often at a computer workstation.
  • Flexibility in work hours, including the potential for occasional overtime, to meet project deadlines, especially when coordinating with different time zones or during travel
