Description:

POSITION OVERVIEW

We are seeking a highly organized and detail-oriented IT Project Coordinator to support the successful delivery of complex initiatives, including transformational change projects. This role will work closely with the Program Manager and project teams to ensure effective planning, communication, and execution.

DESIRABLE TRAINING AND EXPERIENCE

Completion of a bachelor’s degree in business, computer sciences, or a related field, including or supplemented by project management training, plus considerable related experience in an integrated information technologies environment, or an equivalent combination of training and experience.

KNOWLEDGE, SKILLS, AND ABILITIES

Thorough knowledge of project management methods, practices and procedures as they relate to the work performed.
Considerable knowledge of the desktop and departmental systems in relation to the work performed.
Considerable knowledge of the functions of departments served and their information systems requirements.
Ability to apply change management practices, standards, and techniques in an information technology environment.
Ability to coordinate project budgets and timelines while managing scope and risk.
Ability to make timely decisions, delegate work, and organize work initiatives when managing changing priorities.
Ability to communicate tactfully and effectively orally and in writing, to facilitate discussion, and to present complex information in an effective and consumable manner.
Ability to establish and maintain effective working relationships and to provide advice and assistance to steering committees and user groups.

Responsibilities:

Develop, update, and manage detailed project plans, timelines, and schedules, ensuring tasks are coordinated and deadlines met.
Allocate and manage resources such as personnel, equipment, and materials, adjusting as needed to address conflicts or shortages.
Serve as the central hub for project communications, keeping stakeholders and team members informed through updates, meeting agendas, and summaries.
Prepare presentation materials tailored to different audiences.
Maintain comprehensive project documentation, including plans, reports, and contracts, ensuring version control and accessibility.
Identify project risks, escalate them for mitigation, and track issues to resolution to keep the project on schedule.
Assist in monitoring project budgets, tracking expenses, and collaborating with finance teams to process invoices and financial reports.
Track project progress and performance against KPIs and milestones, delivering regular status reports to stakeholders and management.
Engage with internal stakeholders to align goals, gather requirements, address concerns, and promote collaboration.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, collaborate effectively in an agile environment, navigating input from multiple stakeholders and addressing occasional ambiguities in communication to drive successful outcomes. Familiarity with project management tools and methodologies is essential, along with excellent communication and problem-solving abilities.
