As we continue to grow, we are seeking junior administrative/executive assistant to to support our management team in day-to-day operations.

JOB SUMMARY:

As an junior administrative/executive assistant you will play a crucial role in ensuring the efficient functioning of the office and assisting with the management of key projects. The ideal candidate will have a great attitude and work ethic combined with exceptional communication skill (both spoken and written), organization skills, strong computer skills (with an eye towards AI integration) and the ability to work independently. You will support the management team in a wide variety of tasks, including administrative duties, scheduling, project coordination, and documentation management.

QUALIFICATIONS:

  • Preference for at least one year of experience as an administrative and/or executive Assistant or in a similar administrative role, preferably in a technical or project-driven environment.
  • Strong written and verbal communication skills in English, with the ability to clearly articulate ideas and information.
  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • High level of proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Windows file system. Experience with AI integration strongly preferred.
  • Ability to work independently and take initiative while maintaining attention to detail.
  • Previous experience in a project coordination or administrative role within the NDT, welding, or engineering sectors is a plus.
  • Strong problem-solving abilities and a proactive approach to challenges.
  • Professional demeanour and ability to handle sensitive information with confidentiality.
  • Bachelor’s degree or relevant certification in business administration, management, or a related field is preferred.

Responsibilities:

  • Provide comprehensive administrative support to the Executive Director, including scheduling meetings, managing calendars and email and draft document creation.
  • Assist in the coordination and management of company projects, ensuring deadlines are met and resources are allocated effectively.
  • Prepare and edit reports, presentations, and correspondence for the Executive Director.
  • Maintain effective communication with clients, vendors, and internal teams to facilitate project progress.
  • Organize and maintain emails and coordinate and track the progress/status of client requests, proposals, ongoing projects and communications.
  • Handle confidential information with discretion and professionalism.
  • Support the preparation of budgets, invoicing, and contract administration related to projects.
  • Perform other administrative tasks as required to support the Executive Director and company operations.
