As a Receptionist + Junior Design Assistant, you will play a dual role in ensuring smooth front-end operations and assisting clients with their design needs. This key position makes you the first point of contact for our customers while also supporting our design team to help bring clients’ projects to life.
Key Responsibilities:
QUALIFICATIONS:
· 1-2 years of experience in a similar role (design experience preferred)
· Intermediate skills in MS Office (Word, Excel, Outlook)
· Proficient in AutoCAD
· Strong customer service focus with the ability to build relationships with clients and coworkers
· Excellent communication skills, including listening, understanding client/designer needs, and providing assistance
· Exceptional organizational skills and attention to detail
· Ability to learn quickly, take initiative, and work effectively as part of a team
· Knowledge of interior design, spatial planning, and color coordination
Responsibilities:
RECEPTION DUTIES:
· Greet visitors in a friendly and professional manner, creating a welcoming atmosphere
· Answer and direct phone inquiries to the appropriate staff member
· Manage incoming and outgoing mail, packages, and couriers
· Maintain the reception area, ensuring it’s tidy and well-stocked with necessary supplies
· Assist in keeping the showroom clean and organized, putting away product samples
· Monitor and order office supplies as needed
- Maintain staff kitchen, supply room and boardroom
· Help in creating sales quotes and other administrative tasks
JUNIOR DESIGN ASSISTANT DUTIES:
· Assist walk-in customers, handle phone and email inquiries related to product inquiries
· Participate in client meetings to gain a deep understanding of their project needs and design preferences, and to assist designer with updating paperwork and quotations
· Maintain up-to-date knowledge of available products, including coordinating with suppliers and reps to keep literature and displays accurate
· Provide pricing information to clients, process orders, and ensure payments are collected according to policy
· Collaborate with various departments—production, shipping, accounting, site construction—to ensure smooth project execution
· Help organize and maintain showroom displays, manage product samples, and update product publications and pricing
· Support the design and drafting staff with accurate drawings and project coordination
