THE OPPORTUNITY
GDS Supply Chain Services is a new service offering that is being setup in collaboration with EY’s Supply Chain Services organization which is seeking to utilize the location footprint and skills/capabilities available from our Global Delivery Services (GDS).
The GDS provides enabling services to EY member firms, Service Lines, business support functions and Area/Global entities. These services are provided via the Client Service - Assurance, Advisory, Knowledge, Tax and TAS, and Enablement Services – Supply Chain Services, IT Services, Finance & Accounting Services, Risk Management Services, People Shared Services, Markets Enablement Services, Brand, Marketing and communications. The Client Service and Enablement Services are an important component of EY’s Vision 2020 strategy, and has an ever increasing shared services footprint across the world, including five centers in India (Bangalore, Chennai, Gurgaon, Kochi and Trivandrum), and in Argentina, China, Poland and the Philippines. The GDS headcount is currently approx. 15,000 (September 2015) and is predicted to grow to over 30,000 by 2020.
Procurement was established as a globalized function just over six years ago and now it is known as Supply Chain Services. Its purpose it to drive efficiencies in the way EY member firms select and manage their vendor relationships. This is achieved through a number of channels including creating supply chain processes which are repeatable, can be leveraged, are transparent as well as are aligned to business strategies and goals.
The role of the Event Web and App builder, Supply Chain Services, GDS ES will be to build registration web pages using predefined templates and Mobile App shell builds for complex, high-profile EY internal and external Meetings, Events, and Training Programs using Cvent platform. You will follow a defined delivery process and toolset that ensure a consistent level of service. The individual will have frequent interaction with Event Managers, Project Coordinators, and internal stakeholders across the globe
SKILLS AND ATTRIBUTES FOR SUCCESS

- Experience with online attendee management programs, HTML, JavaScript and database management
- Experience or knowledge on Mobile App technologies

- Ample experience in usage of Microsoft Office applications (Mostly MS Excel and MS Outlook)

Responsibilities:
YOUR KEY RESPONSIBILITIES
The primary role and responsibility of this position will be to work in a team environment, as an individual contributor to support Meetings and Events team including, but not limited to:
- Build event/training registration websites using predefined templates in cvent tool
- Build event/training Mobile App using predefined templates in Attendee Hub and OnArrival (Cvent)
- Provide on-site support for Meetings & Events and training programs
- Work with clients to establish requirements, expectations, key details of meetings
- Educate clients on best practices
- Design and send registration invitations, reminders and confirmations to attendees
- Develop and maintain participant lists, compiled from registration website
- Train planners on registration procedures, and other aspects of the cvent registration system
- Develop an attendee management plan for each meeting, and train clients to effectively manage their plans
- Act as an advisor to senior planners on ways to improve large national or area meetings
- Using the M&ES attendee management tool (cvent), help internal clients and M&ES planners build and manage their registration sites
- Work directly with external vendors to identify issues of concern, and recommend improvements to the system
- Communicate with meeting managers and coordinators about the functionalities of cvent tool in order to capture information on registration site build
- Drafting the initial framework based on the request from the event managers.
- Initiating and setting up the pre-requisites from the event perspective.
- Preparing and managing the various communications like Invitations, Reminders, Confirmations, Survey, Broadcast,etc.
- Managing the end-to-end registration process.
- Rooming list management
- Various type of reports generation as per client requirements
- Managing post event communications like thanking the delegates, conducting the survey etc.
- Creating reports based on the feedback survey
- Managing the mailbox - Answering queries pertaining to registration site, reporting etc
- Set up reporting requirements and convey what is in scope and out of scope
- Liaise with Cvent team (external) to get queries clarified
- Capture Meetings & Events related data to Cvent tool
- Update manual trackers and tools as per the requirements set by supervisor
TO QUALIFY FOR THE ROLE YOU MUST HAVE
- 2-4 years of experience in a large multi-national corporation, preferably in Customer Service or Technical Support
- Experience working in a team environment interacting with multi-national customers
- Must have good experience on MS Outlook and online tools
- Experience in website building using template is an added advantage, but not mandatory
- Experience in cvent tool would be an added advantage, but not mandatory
- Experience in Mobile App builds would be an added advantage, but not mandatory
