Qualifications:
- Supply Chain Diploma/degree asset.
- Detail-oriented with a demonstrated ability to multitask and manage time
- Analytical skills for evaluating all procurement related tasks with a strong attention to detail.
- Ability to prioritize critical tasks, work well in a close team and under pressure to meet deadlines.
- Strong organizational, verbal and written communication skills.
- Ability to establish and maintain effective working relationships with internal and external customers.
- Ability and willingness to continuously learn, improve, understand and address the challenges related to procurement.
- Proficiency in computer literacy and Microsoft 365.
- Experience in the function of Procurement in Fabrication, Construction, or related industry an asset.
- Previous knowledge of supply chain best practices, standards, policies, procedures is an asset
- Basic understanding of fabrication and construction materials and tooling is an asset.
- Familiarity with procurement software/ERP systems (Waiward’s ERP Unit 4) an asset
Responsibilities:
The Junior General Purchasing Coordinator is primarily responsible to support the efficient procurement of material and services by processing purchase orders, maintaining accurate records, and facilitating effective communication with internal customers and suppliers, contributing to the overall success of the purchasing department and ensuring the timely availability of resources for fabrication and construction projects.
Responsibilities:
- Displays a commitment to Waiward’s incident-free vision, values, and culture.
- Order Processing:
- Prepares and issues RFx. Including Request for Quote (RFQ), Proposal (RFP), Information (RFI), Approval (RFA)
- Sources MRO (maintenance, repair, and operations) consumables, equipment, and services to support Waiward’s fabrication and construction operations in a timely manner (excluding raw material Steel and Bolting (Bought Items) required for Waiward fabrication. Function managed by the Material Purchasing team).
- Provides timely and accurate information as requested by various
- Maintains Waiward’s ERP System to accurately report on everyday purchases.
- Negotiations:
- Negotiates to obtain preferred pricing, terms, and conditions to the greatest extent
- Vendor Relationship Management:
- Assists in identifying potential suppliers, obtaining quotes, and maintaining positive relationships with suppliers.
- Acts as a liaison between suppliers and involved departments to resolve procurement related issues.
- Order Expediting:
- Expedites and follows up on schedule deliveries to ensure timely delivery and address any delays or issues.
- OS&D (Over, Short, Damage): resolves material discrepancies, outstanding or overdue deliveries, overages, shortages, and damage claims and return of material.
- Coordinates with stakeholders, warehouse, logistics, transportation teams.
- Assists with receiving when required.
- Document and Recording:
- Assists in managing procurement documentation such as invoices, delivery slips, and contracts.
- Maintains request triage and ensures purchase requisitions are up to date.
- Manages and assists in ERP updates, accounting requests, PO revisions, Zero Value PO# and project close outs.
- Performs other purchasing related duties as assigned.
