Organizational context
UNHCR has completed a Business Transformation Programme (BTP) aimed at enhancing its financial management, contributions management, and supply chain management by the end of 2023. A key element of this transformation involved replacing the organization’s ERP application with Oracle Cloud ERP SaaS to leverage modern digital technologies. Following the go-live in September 2023, the Division of Emergency, Security and Supply (DESS) established a support structure to assist UNHCR’s global workforce during the transition. It is anticipated that system usage will stabilize throughout 2024-2025, with direct user support gradually integrated into regular business functions. Ongoing support will continue for process owners and the user community as new functionalities are introduced and existing processes are adjusted.
The position
The intern will support the Supply Management Service (SMS) in implementing knowledge management efforts for the organization, in particular supporting 800 Supply colleagues worldwide. Under the overall guidance and supervision of the Supply Officer.
We are seeking a competent, motivated, and passionate individual who may have a background in contract management and procurement.

At the end of this internship in one of the UNHCR HQs, the successful candidate will have gained in:

  • The intern will gain practical experience in knowledge management and digital resource organization in a global supply management setting.
  • They will have hands-on experience with AI chatbot testing and content management systems, enhancing their technical expertise.
  • The intern will develop skills in creating guides and tutorials, improving their ability to communicate complex information effectively.
  • They will gain knowledge of user experience evaluation and the iterative process for enhancing digital tools and resources.
  • Finally, the intern will have opportunities to connect with supply chain and procurement professionals in a multicultural environment at UNHCR.

Duties and responsibilities

Some of the specific tasks may include, but are not limited to:

  • Test AI chatbots for accuracy in answering knowledge-based queries
  • Gather feedback on user experiences and suggest improvements
  • Ensure SharePoint Hub is organized and up-to-date
  • Maintain and streamline digital files, documents, and learning resources
  • Develop guides and tutorials in various formats

Professional experience and required competencies
-
- Fluent in English, knowledge of another UN language is a plus
- Experience in content writing, video editing and managing learning platforms
- Organized, analytical, and attentive to details
- Has a knack for simplifying complex concepts and curating engaging content
- Curious and independent self-starter in a multi-cultural environment
- Experience in supply chain ERP and/or configuring AI chatbots is a plus
Minimum qualifications required

To be considered for an internship, candidates must meet the following eligibility criteria:

  • Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and
  • Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR.
  • You must be legally present in Hungary at the time of application.

Desirable qualifications and skills

  • Knowledge and experience in computer science, supply management, finance, or data visualization, is a plus

Conditions
It is a full-time role with working hours starting from 9.00am to 6:00pm Monday to Friday (40 hours per week). The successful candidate will be assigned to support the team in location .
Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses.
