POSITION SUMMARY:
The Lead Receptionist/Office Manager will be responsible for welcoming visitors (in person or over the phone) and responding to inquiries. The individual will oversee reception staff and ensure proper coverage at the front desk. The Lead Receptionist/Office Manager will also be responsible for the tracking and scheduling of shared offices, hoteling desks, and classrooms. Along with the administrative assistant, the Lead Receptionist/Office Manager will be responsible for maintaining office and classroom supplies and will serve as the point person for client and/or facility issues.
SKILL AND EDUCATION:
- High school diploma or equivalent (required)
- At least 3 years of experience providing administrative support (required)
- Proficient with Microsoft Office Suite
- Fluent in English (verbal and written); bi-lingual Yiddish/Russian/Hebrew/Spanish a plus

Responsibilities:
- Serve visitors by greeting, welcoming, directing, and announcing them appropriately.
- Answer, screen, and forward any incoming phone calls while providing basic information when needed.
- Receive and sort daily mail/deliveries/couriers.
- Maintain security by following procedures and controlling access.
- Oversee all receptionist staff and ensure proper front-desk coverage at all times.
- Track and schedule shared offices, hoteling desks, and classrooms.
- Perform clerical receptionist duties including filing, photocopying, postage, collating, faxing, etc.
- Provide coverage and sorting of the general email box via Outlook (bpinfo@metcouncil.org).
- Document in the program database all activities and client services.
- Assist with special events and projects.
- Assist with data collection and entry.
- Process outgoing mail by making runs to the local post office and other mailing sites as needed.
- Interact with the administrative assistant on departmental projects.
- Serve as the point person for client and/or facility issues.
- Additional responsibilities as required.
