Responsibilities:

ABOUT THE ROLE:

We have an exciting role available for a Lease Administrator to join our Leasing team. Reporting to the Senior Leasing Administrator, you will be responsible for the co-ordination and management of the lease documentation process following agreement, which includes monitoring, ensuring execution and recording all the information and ensuring lease terms and conditions are maintained for the life of the lease.

YOUR KEY RESPONSIBILITIES WILL INCLUDE:

  • Announce new stores and relocations to the Business
  • Set up new stores on Lease Eagle data base – from new store sheet, including charges and clauses
  • Monitor and track leases to execution and update Lease Eagle Database
  • Communicate commercial terms to relevant departments as required
  • Ensure all lease documentation, including Contribution deeds and other relevant documents, are correctly executed, and returned in a timely manner
  • Follow up Fully executed leases and file in timely manner
  • Set up and maintain Property Files, ensuring fully executed leases and relevant correspondence is received, scanned and on file
  • Maintain all Property Data Bases, including Lease Eagle, spreadsheets etc.- in line with commercial agreements and dates as per Store Development schedule
  • Run Handover reports and review weekly with Store Development Team
  • Update date changes once approval receive from Landlords
  • Assisting the Senior Leasing Administrator and corporate lawyer with negotiation and finalisation of leases where required
  • Co-ordinate execution for all storage licence agreements and upkeep register of all storage units and associated costs including
  • Update charges in Lease Eagle – outgoings increase each year
  • Prepare and send any quarterly cap email reminders to landlords
  • Audit storage units on regular basis with Retail team and leasing team
  • Liaise with Operations team to ensure all Shopfitter and Landlord defects have been completed and all conditions of payment fulfilled
  • Ensure payments are received promptly in line with terms of agreement|
  • Circulate Outstanding Contribution schedule to management and Finance – weekly
  • Arrange insurance certificates for new stores with our insurer
  • Provide Insurance Certificates for all new stores and annually for all stores to landlords – upkeep register throughout year
  • Prepare Certified Sales certificates quarterly (caps) and annually
  • Assist Senior Leasing Administrator, Commercial Leasing Manager, GM Property and Leasing Team where required
  • Liaise with Landlords in relation to store maintenance issues where landlord is responsible for cost recovery
  • Communicate any requests from landlords for access to stores with our Retail Team
  • Attend new store opening meetings and take minutes to share with the property team

TO SUCCEED IN THIS ROLE, YOU WILL NEED TO HAVE THE FOLLOWING:

  • Strong communication skills, both written and verbal
  • Strategic thinking with experience in implementing processes improvements and efficiencies within a lease administration role
  • Excellent time management skills - handle multiple tasks simultaneously, with the ability to prioritise and meet deadlines
  • Intermediate Microsoft Office Suite
  • Intermediate computer skills including Microsoft Excel
  • Ability to build strong and effective relationships
