You will be a member of the Legal and Company Secretarial team in Amsterdam. Together with tax and finance colleagues, the team is responsible for managing 10+ Dutch subsidiaries. They also form part of an international holding structure with group companies around the world. This role is one of the company secretarial roles and assists in principle the company secretarial function but also provides assistance to the wider team in Amsterdam in providing efficient and professional administrative support.
About the role
As Legal Administrative Assistant, you play a crucial and invaluable role in ensuring our team’s smooth functioning and success! In this part-time role, you will play a central role in supporting our dynamic department – an ideal opportunity for someone looking to gain experience in a fast-paced environment! Your role is a busy and varied mix of tasks. You will be monitoring and answering emails from colleagues and business partners around the world, preparing and processing documents, scheduling and organising board meetings, and contributing to projects. You will work in a small team and build relationships with a diverse group of colleagues in an inspiring, international environment. Top Accountabilities

  • Provide effective and professional administrative support for the Legal and Company Secretarial team’s day-to-day management of a Dutch corporate structure with subsidiaries globally.
  • Support international subsidiaries, intellectual property and supply functions in providing the necessary documentation (resolutions, powers of attorney, letters of comfort, etc.) to meet local legal, regulatory and commercial requirements.
  • Handling of legal/transactional documents – assist with drafting and completing standard documents, execution, notarisation/ legalisation, distribution, and filing.
  • Organising, digitalising and archiving information and documents; actively managing digital archives.
  • Planning and organising (FC and Board) meetings/conference calls, including logistic planning, pre-read circulation, monitor attendance and quorum.
  • Establishing effective relationships and ways of working with key stakeholders.

About you
We are looking for a qualified candidate at MBO 4+/HBO or equivalent level with at least three years’ experience in an administrative support role in a commercial environment. We would love to hear from you if you have experience in a multinational environment. We expect excellent PC skills, including all the latest versions of MS Office. The team works in a mainly English-speaking office. Aside from being fluent in Dutch, you will need to have a high standard of written and spoken English. You have got great people skills, and you are able to interact confidently with a wide range of professionals from different backgrounds and with different levels of experience, including several senior managers and directors. It is also important to have a positive and practical attitude and a solution orientated approach.
