Description:

Land Title Guarantee Company is seeking a dedicated Legal Admin to join our team. As a Legal Admin, you will play a crucial role in overseeing and managing various administrative tasks to ensure smooth operations within the company. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The person selected will be an integral part of our legal team, focusing on case management, document preparation, and customer correspondence.
This is an in-office position, Monday - Friday, 8:00am - 5:00pm.

MINIMUM QUALIFICATIONS

  • Associate’s degree or equivalent work experience.
  • 3 years of experience in administrative roles with a focus on project management and leadership.
  • Strong strategic planning skills with the ability to drive initiatives forward.
  • Detail-oriented mindset with a focus on delivering high-quality results.
  • Ability to work under pressure and prioritize tasks effectively.
  • Ability to multi-task and manage competing priorities effectively while meeting deadlines.
  • Strong organizational skills and exceptional detail orientation; work product is accurate and completed on a timely basis.
  • Ability to work independently as well as within a team; self-starter.
  • Strong work ethic and eager to learn in a highly intellectual, fast-paced environment.

  • Proficiency with Microsoft Office/Google products including Word, Excel, Google Docs, Google Sheets, Google Calendar, Google Drive, and Google Forms.

Responsibilities:

  • Manages and coordinates administrative functions to support legal department daily operations efficiently (i.e., answers phones, opens and distributes mail, maintains department calendars, and orders supplies, etc.).
  • Acts as back-up for the Company’s Administrative and Executive Assistant when needed.
  • Receives, examines, and processes all department invoices.
  • Sets up, inputs, and helps manage department workflow assignments through Zoho software system.
  • Prepares legal department reports (i.e., litigation status reports, litigation calendar, etc.).
  • Assists with responses to document demands, interrogatories, requests for admission, inspection demands, and coordinates debtor exams, oral depositions and witness statements as requested.
  • Manages and maintains all department publications and subscriptions.
  • Processes victim impact statements, bankruptcy notices, and debt collection claims referred from client agencies.
  • Organizes information and prepares responses in connection with lender vetting inquiries.
  • Assists with subpoena intake and ensure calendar response/status.
  • Organizes, sets up, and maintains Company claims files.
  • Organizes and manages legal department templates/forms with understanding of basic terms - such as affidavits, statements of authority, and various real estate transactional documents.
  • Assists the team with wire fraud issues including investigation and responses.
  • Assists with processing internal garnishments.
  • Creates and updates department Trello boards.
  • Assumes ownership of various ad-hoc projects and assists legal department, as needed, to implement legal and compliance programs.
  • Works collaboratively with team members, employees, managers, executives, underwriters, and customers.
  • Performs other duties and projects as assigned.
