PROFILE

We are currently seeking a Senior Legal Administrative Assistant to join our dynamic team. As an integral member of the Legal Administrative Assistant team, the incumbent will provide Litigation support to professionals within our Environmental group.

QUALIFICATIONS

  • Legal Administrative Assistant Diploma from a recognized college preferred.
  • At least 8+ years of experience as a legal administrative assistant doing litigation, with experience and knowledge in Commercial/ Civil Litigation and Ontario Rules of Civil Procedure.
  • Must possess strong attention to detail and exceptional proofreading skills.
  • Ability to communicate in a professional, efficient manner with clients and external contacts as well as internally throughout the firm.
  • Highly organized, team player with the ability to work under pressure, deal with changing priorities and meet strict deadlines.
  • Ability to work well in a team and with minimum supervision when required.
  • Handle stress in a business-like manner.
  • Produce a high quality and quantity of work product, occasionally under tight timelines.
  • Excellent proficiency with Microsoft 365, Outlook, PowerPoint, Excel, Aderant and iManage (or a similar document management system.
  • Knowledge of Goodreader, InterAction and Expert Time would also be an asset.

Responsibilities:

Key responsibilities include but are not limited to the following:

  • Organize and expedite the flow of work through the Professionals’ office, initiating follow-up action.
  • Prepare, draft, revise, serve and file correspondence and litigation documents and assist with preparations for trial, examinations for discovery, closings and court proceedings, as required.
  • Liaise between the Professional’s various internal and external individuals, groups, and clients at all levels.
  • Take instructions, prioritize incoming work, follow through on assignments and manage ongoing tasks.
  • Establish internal protocols and tracking systems and ensure that deadlines are met.
  • Exercise initiative and judgment to relieve Professional of administrative detail.
  • Create, monitor and maintain client files for better file management and client service.
  • Prepare accounts and manage pre-bills, and have a strong working proficiency with all accounting and billing procedures.
  • Possess the ability to handle more than one professional and to undertake additional responsibilities as required within the share and team.
  • Maintain schedules, book appointments, travel arrangements, and prepare expense reports.
  • Other duties, as required.
