Responsibilities:
JOB PURPOSE:
The Legal Administrative Assistant provides support to the Legal team. They ensure the consistency and stability of the admin function within the department and shall support any other tasks assigned by the Line Manager.
KEY RESPONSIBILITIES
Contract and Correspondence Management:
- Prepare standard agreements, contracts and correspondences.
- Organize legal documents, maintain contract trackers and update the legal database.
- Handle incoming calls and emails from internal and external clients and ensure that they are responded to in a timely manner.
Entity Management and Legal Review:
- Maintain Legal database including entities’ trackers and organograms of the group of companies.
- Liaise with external consultants and legal counsels abroad to maintain foreign entities in good standing and comply with regulatory reporting requirements.
- Request for updated incorporation documents and extracts from the registers.
- Ensure that deviating agreements and agreements received from third parties undergo legal review by Legal Director.
Due Diligence:
- Conduct due diligence process on customers, suppliers and business partners and maintain DD documents archives. Others: Adhere to the documented procedures of the organization or department and retain documented evidence related to the performance of their role.
