JOB DESCRIPTION

Larkin Hoffman is seeking a full-time (37.5 hours per week) Legal Administrative Assistant to join our Business Litigation practice group. This position will provide administrative support for lawyers, paralegals, and other legal personnel. Duties include document production, organizing and maintaining physical and electronic legal files, billing, time entry, maintaining calendars, legal research, processing expenses, general office responsibilities, and other projects as needed and/or assigned.

Additional Duties and Responsibilities

  • Provide administrative support to attorneys, paralegals, and practice support specialists in assigned legal department.
  • Prepare/process timesheets, expense reports, client disbursements, client bills, and other billing responsibilities, as directed.
  • Maintain and organize client files in NetDocs according to firm guidelines, or in paper files as needed. Open and close client files according to firm guidelines.
  • Exhibit and maintain a working knowledge of litigation procedures, including the Minnesota Rules of Civil Procedures and filing at the State and Federal level.
  • Maintain and regularly review the docket system to meet deadlines and follow up on important filings. Prepare and deliver documents for production in Casepoint, including calendar and track discovery, meetings, court dates, and deadlines.
  • Provide administrative support to include managing calendars, arranging meetings and hospitality for meetings, conference calls, and appointments, prioritizing mail. CLE registration and tracking and assist with travel arrangements if necessary. Recognize potential problems in meeting any deadline and taking appropriate action to alert others or assure the deadline is met.
  • Assist with special projects and cooperate as a Team Member with assigned LAA Team and other support staff teams (word processing, receptionist, or office services) by accepting and completing tasks in addition to their own assigned tasks, performing any duty essential to the achievement of efficient operations. Champion teamwork and cooperation for oneself and one’s Team through actions, words, and behaviors.

Education and/or Experience

  • Legal Administrative certification OR degree with 2+ years of law firm experience OR equivalent combination of education and/or related experience.
  • Preferred: Legal Administrative certification OR degree with 4+ years of law firm experience.
  • Preferred: Prior experience and/or working knowledge of Patent Law.

Work Location

  • In person with ability for hybrid work schedule after initial 3 months of onboarding.

Salary

  • Negotiable based on experience and education.
