Description:
We are looking for a Legal Analyst (limited term position) in Calgary (downtown office) to cover a twelve (12) month maternity leave. This person will work with SMART’s in-house legal team that currently consists of four lawyers and another paralegal to provide administrative support in the following areas:
- Occasionally assist corporate secretary in preparing for board and committee meetings including the compilation of necessary board meeting materials;
- Attend to minute books as required;
- Assisting with privacy related inquiries from customers;
- Assisting with completing Data Protection Agreements (DPAs) for signature;
- Arranging for signatures on contracts, primarily via DocuSign;
- General researching of issues;
- Help manage SMART’s contractual agreements: assisting with standard contracts from start to finish; assisting lawyers with changes to drafting and negotiating reseller/distributor agreements, contract amendments, addendums, and terminations;
- Liaising with the appropriate business teams to ensure we as a business can comply with the terms; sending finalized contracts to the appropriate business units/finance for processing and storing in our document management system;
- Manage physical and electronic filing system of minute books;
- Help with travel arrangements and entering expenses for reimbursement;
- Help team management and timeline for payments of professional dues;
- General legal team office support such as:
o Arrange couriers;
o Authentications and legalizations of documents at local embassies and consulates;
o Help maintain out-of-office calendar;
- Continuously expand familiarity with new systems, processes and office administration software, including SMART software where required;
- Develop a sufficient understanding of other departmental administration roles in order to provide baseline coverage for such roles to the Legal team;
- Assist in administering legal budget and creation and maintenance of associated spreadsheets;
- Assist with various financial reports including preparation of monthly accruals, invoice coding and seeking approval of outside legal spend;
- Occasional assessment of in-coming work tasks and referral of matter to appropriate team member;
- Occasionally attend to the registration and licensing requirements of the various SMART affiliated entities (especially Inc., ULC and Corp);
- Maintenance of Legal Portal site on SMART’s intranet;
- Shared responsibilities for a variety of internal and external reporting;
- Assisting and planning SMART’s corporate events such as holiday and stampede parties; and
- Exercising initiatives to propose, develop and maintain standard office precedents and procedures.
EDUCATION AND WORK EXPERIENCE
- A degree, or diploma, or certificate as a legal assistant, paralegal or a foreign trained lawyer;
- Advanced proficiency using Microsoft Office software, particularly Word, PowerPoint and Excel;
- Experience with general corporate commercial practice;
- Competency using content management systems such as SharePoint or equivalent; and
- Preferably, some exposure to other general areas of law, such as privacy, litigation, employment and intellectual property.
