About the Position
We are looking for a legal assistant with experience in commercial litigation to join the team of legal support professionals at our Montréal office. Reporting to the Senior Manager, Legal Support Professionals, the successful applicant will provide complete legal and administrative support to two to three litigation lawyers.
Primary Responsibilities
Draft correspondence and prepare and revise legal documents
Finalize proceedings for notification and court filing as applicable
Communicate and liaise with bailiffs and court representatives
Take part in swearing-in activities as needed
Monitor procedural delays
Manage deadlines, plan meetings and appointments and update lawyers’ calendars
Organize lawyers’ business trips and make necessary reservations
Revise and proofread documents for grammar, formatting and compliance with legal requirements and Davies’ visual identity
Manage files, documents and folders using a number of storage and archiving applications such as Closing Folders, Sharefile, virtual data rooms
Assist lawyers with business development projects and keep professional contacts database up to date
Process data (time, expenses) and open files
Liaise with clients, colleagues, support departments including our Business Centre, and external parties
Follow up on billing of lawyers’ matters in tandem with Billing Specialists
Transcribe dictations, audio notes and other recordings
Participate in the successful onboarding of new team members
Perform any related administrative task
Qualifications
Attestation of Collegial Studies (ACS) in legal secretarial studies or Diploma of Collegial Studies (DCS) in office systems technology; Diploma of Collegial Studies (DCS) in paralegal technology would be an asset
At least ten years of relevant experience, including in a professional services firm
Knowledge of Federal Court, Tax Court of Canada and Supreme Court of Canada proceedings would be an asset
In-depth knowledge of Québec litigation proceedings would be an asset
Excellent oral and written communication skills in English and French *Our Montréal office represents and delivers service in Québec both to Québec-based clients and to clients that do business in Québec. The incumbent will be required to interact and produce content in both French and English, hence verbal and written proficiency in both languages is required.
In-depth knowledge of the Microsoft Office Suite
Team player with strong organizational skills and attention to detail
Ability to act proactively, demonstrate motivation and anticipate needs
Ability to manage priorities and work within tight deadlines
Discretion, critical thinking and good judgment
