Description:
Gerber Ciano Kelly Brady, a multi-office, multi-state law firm, is seeking an experienced legal assistant for an immediate full-time position in its Buffalo, New York office. This is a hybrid remote position, with a minimum of 1 – 2 days in the office. Candidate should have a minimum of three (3) years’ experience in the area of general litigation and be able to handle a busy workload and multi-task.
The candidate for this position should be someone who can provide insightful support to both attorneys and legal teams and provide high quality work. The individual should have the ability to exercise good judgment in a variety of situations, with strong and professional communication skills. They should be a team player, have an engaging personality, show initiative, be able to work independently, and maintain a realistic balance among multiple priorities.
In this position, the legal assistant will be tasked with a variety of job duties to support attorneys, including the following:
- Drafting of general litigation legal documents such as, correspondence, pleadings, discovery demands/responses, motions, subpoenas, settlement documents, etc.
- E-filing knowledge to assist with legal filings in State and Federal Courts
- Maintain client confidence and protect operations by keeping information confidential
- Ability to communicate with courts, clients, experts, opposing counsel, and counsel for co-defendants as needed
- Keeps attorneys apprised of status of cases by monitoring and tracking deadlines
- Maintain & Review attorney calendars daily and proactively handle upcoming events
- Assist with scheduling/coordinating appearances and depositions, as needed. Retain court reporters and interpreters, if necessary.
- Opening and closing of files
- Maintain and process expense reports and check requests
- Proofreading and editing all materials for extreme accuracy and clarity
- Scanning, saving and filing documents
- Dictation
- Handle travel arrangements for attorneys when necessary
- Provide backup to other attorneys and assist with overflow as requested
- Record and store client information
- Assist with attorney marketing tasks, as needed
Required Skills/Qualifications
- Associate’s Degree or higher is preferred
- At least 3 years of experience in general litigation, experience.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint and Teams
- Highly proficient with the usage of a case management system and other software applications.
- Knowledge of State and Federal Court E-Filing
- Proficient in multi-tasking, attention to detail, excellent communication and organizational skills
- The ability to anticipate schedules and deadlines and move projects forward
- Exemplary planning, prioritizing and time management skills
- Should be able to work under deadlines and have some flexibility in their work schedule to meet unforeseen demands, experience in a high-volume work environment is a plus
Work Location and Schedule: This position is hybrid remote and will be required to work at least 1 – 2 days in the Buffalo Office.

Salary is commensurate with experience and skill set. Position offers benefits, including health, life, short-term and long-term disability, as well as 401k, flexible work and paid time off.
For New York City Applicants: Salary range: $18.00 - $40.00/hr. ($37,440.00 - $83,200.00), plus may be eligible for an annual discretionary bonus. The anticipated salary range is for candidates who will work in New York City. The salary offered to a successful candidate will depend upon the individual’s skills, experience, qualifications, and other job-related factors permitted by law.
